About The Position

The Engineering Administrative Assistant is responsible for entering and retrieving information from computer databases, updating records, files, and reservations, and answering guest inquiries. This role involves transmitting information via computer, mail, or facsimile machine, and operating standard office equipment. Key duties include preparing various documents using office software, managing incoming and outgoing mail, and maintaining both computer- and paper-based filing systems. The assistant will also compile, copy, sort, and file records of office activities and business transactions. The position requires adherence to company policies, maintaining a professional appearance, ensuring confidentiality, and protecting company assets. Customer service is a significant aspect, involving welcoming and assisting guests, anticipating their needs, and communicating professionally. The role also emphasizes developing positive working relationships and supporting team goals. Physical demands include the ability to move, lift, carry, push, pull, and place objects weighing up to 10 pounds without assistance. The assistant will perform other reasonable job duties as requested by Supervisors.

Requirements

  • Ability to enter and retrieve information contained in computer databases using a keyboard, mouse, or trackball.

Responsibilities

  • Prepare letters, memos, and other documents using word processing, spreadsheet, database, or presentation software.
  • Handle incoming and outgoing mail, including date stamping and distributing incoming mail.
  • Create and maintain computer- and paper-based filing and organization systems for records, reports, documents, etc.
  • Compile, copy, sort, and file records of office activities, business transactions, and other activities.
  • Enter and locate work-related information using computers and/or point of sale systems.
  • Follow all company policies and procedures.
  • Ensure uniform and personal appearance are clean and professional.
  • Maintain confidentiality of proprietary information and protect company assets.
