Responsibilities

  • Provide direct support to the Principal, Dean, and Executive Director
  • Manage calendar ownership, scheduling, and conflict resolution
  • Prepare agendas, materials, and logistics for meetings and events
  • Coordinate leadership team and full staff meetings
  • Track action items and ensure follow-up accountability
  • Protect leadership time for evaluations, instructional leadership, and strategic priorities
  • Conduct enrollment communications and inquiry follow-up
  • Communicate with prospective families via phone and email
  • Coordinate school tours and support a positive enrolling family experience
  • Align logistics, stakeholders, and timelines to ensure seamless execution
  • Coordinate principal-led events, STEM signature events, and key school initiatives
  • Oversee volunteer coordination, execution and tracking
  • Coordinate substitute coverage aligned to staffing needs and priorities
  • Ensure 504 scheduling compliance
  • Schedule and support observations, walkthroughs, and conferences
  • Manage Skyward systems and supply ordering
  • Coordinate field trips
  • Assist with hiring, onboarding, and offboarding logistics
  • Maintain ownership of IC data
  • Respond to student health needs, including emergencies in classrooms
  • Administer daily medications and maintain accurate documentation
  • Coordinate medication refills as needed
  • Provide care for sick or injured students and staff
  • Communicate with parents regarding student health concerns
  • Maintain files on personnel, including evaluations and other confidential information such as emergency contacts and the crisis management process.
  • May develop, evaluate, and cross-train the work of support clerical personnel and make routine decisions.
  • Administer first aid to students as the back-up to the Health Assistant.
  • Maintain proficiency in Workday, Aesop, Infinite Campus, Kronos, and other related technologies.
  • Coordinate a variety of building and staff activities such as beginning and end-of-year check-in and check-out, back to school nights, parent teacher conferences, building security measures, online student check in, etc.
  • May assist in maintaining electronic media.
  • May assist in maintaining overall calendar of school and community events.
  • Manage a variety of personnel functions such as substitute teachers, staff leave records, and bookkeeping.
  • Draft and produce letters, memoranda, reports, and special projects such as newsletters, handbooks, and other related materials/documents in an accurate and timely manner.
  • Deal with matters of a highly confidential nature.
  • Act as a liaison with district community relations such as alerting the district to crisis situations, good news, student celebrations, etc.
  • Actively participate in the school based crisis team.
  • May prepare and distribute a variety of regular and special reports for administration, the district, and the state.
  • May maintain the principal's calendar, make appointments, and schedule meetings and conferences.
  • Continually look to improve administrative processes.
  • Perform other related duties as assigned or requested.
