Responsibilities

  • Serve as the front desk point of contact, managing phones, visitors, and daily inquiries
  • Provide a welcoming and professional environment for students, families, and staff
  • Process student enrollments and withdrawals
  • Maintain official academic records, including contact information, transcripts and grade reports
  • Manage cumulative student files with accuracy and confidentiality
  • Fulfill transcript requests and respond to external records requests
  • Oversee attendance tracking and support truancy management processes
  • Prepare and maintain enrollment reports
  • Maintain ownership and accuracy of IC (Infinite Campus) and enrollment software data
  • Support the Principal, Dean, and Executive Director as needed
  • Conduct enrollment inquiry follow-up and communicate with prospective families via phone and email
  • Coordinate school tours and support a positive enrolling family experience
  • Align logistics, stakeholders, and timelines to ensure smooth execution of events and initiatives
  • Oversee volunteer coordination, execution and tracking
  • Open doors and screen visitors through Raptor and related software
  • Respond to student health needs, including emergencies in classrooms
  • Administer daily medications and maintain accurate documentation
  • Coordinate medication refills
  • Maintain the health room (stocking, cleaning, organizing)
  • Provide care for sick or injured students and staff
  • Communicate with parents regarding student health concerns
  • Administer minor first aid and release authorized medications to students.
  • Provide clerical support to administration, Principal’s Secretary, and staff.
  • May include site training of staff members in the use of the Student Records System.
  • May have responsibility for the overall school calendar of events, scheduling building usage, field trips, and other similar functions.
  • May handle staff absence recording and substitute acquisition.
  • Perform other related duties as assigned or requested.
  • Greet and direct visitors; answer phones and direct messages/calls to appropriate people.
  • Maintain student records such as attendance, cumulative files, emergency cards, grade reports; may deal with class lists, tracking assignments and similar records pertaining to student assignments.
  • Compose and distribute communications and various other materials to teachers, staff and community; may include newsletters, testing materials, memoranda, mail, etc.
