The Elections Finance Administrator position in the Elections Department combines an exciting, fast paced environment with the opportunity to cultivate talents and apply a variety of skills. We are seeking an Elections Finance Administrator to join a mission-driven team that supports essential department operations. The Elections Finance Administrator is a self-motivated administrative professional with strong judgment, accuracy, and a customer-focused approach. In this role, you will support a wide range of core administrative functions, including accounts payable, purchasing, payroll, process improvement, and records management. King County Elections (KCE) manages voter registration and elections for more than 1.4 million voters in King County, one of the largest vote-by-mail counties in the United States. Requirements

  • Four years of increasingly responsible experience in accounts payable.
  • Proficiency with technology tools, including intermediate-level skills in Microsoft Excel, Outlook, PowerPoint, Visio, Word, Adobe, Teams, and SharePoint.
  • Demonstrated ability to work independently and collaboratively with sound judgment, flexibility, professionalism, and tact.
  • Demonstrated ability to analyze and interpret data, contracts, policies, and procedures.
  • Strong research skills, including preparing accurate reports and reconciling errors or discrepancies.
  • Demonstrated skill in organizing and prioritizing a high-volume workload with competing deadlines, while maintaining strong attention to detail in an occasionally ambiguous environment.
  • Clear and effective verbal and written communication skills with a commitment to maintaining confidentiality.
  • Demonstrated skill and experience coordinating diverse assignments and supporting cross-team collaboration.
  • Demonstrated ability to work effectively with a wide variety of customers in person, by phone, and via email.
  • Employees must reside in Washington state and within a reasonable distance to their King County worksite to respond to workplace reporting requirements.
  • A valid Washington State Driver's License is required to operate King County vehicles.

Nice To Haves

  • Knowledge of King County procurement, accounts payable, and/or payroll policies and procedures.
  • Experience with Content Manager or an equivalent records management system.
  • Demonstrated experience with identifying, analyzing, and improving specific internal processes, contributing to enhanced efficiency and operational excellence within the work unit.

Responsibilities

  • Process invoices and P-card purchases in accordance with procurement and accounting policies and procedures.
  • Research and compile data for information requests, including preparing spreadsheets or custom reports.
  • Process, submit, and reconcile expense reports and employee reimbursements in compliance with King County policies and procedures.
  • Purchase goods and services by following established guidelines.
  • Process bi-weekly payroll by following established policies for time and labor transactions, reviewing and reconciling reports, entering data, resolving discrepancies, coordinating with teams, and applying knowledge of the Coalition Labor Agreement.
  • Enter and assist with employee travel in Concur and follow up with employees as needed.
  • Train on and explain travel policies and procedures to employees.
  • Assist staff with New Employee Orientations for short-term temporary staff.
  • Collect and process paperwork, including entering data into PeopleSoft, ensure all documents are complete, and follow up with staff on missing or incomplete documents.
  • Create, document, and maintain standard work processes.
  • Identify and contribute to the development of process improvements.
  • Act as Records Management lead for payroll and finance.
