About The Position

This position is located in the Office of Assessment, Accountability, and Analytics in Baton Rouge, LA. The role directly reports to the Director of Research and Data Privacy and is crucial for ensuring agency-wide compliance with student data privacy laws, regulations, policies, and security requirements. The Data Privacy Coordinator collaborates with the Data Privacy Program Manager, agency leadership, and staff across the Louisiana Department of Education to promote responsible handling and protection of sensitive education data. This is a part-time, fully in-person position requiring approximately 20-24 hours per week, performed on-site at the Claiborne Building in Baton Rouge. Remote or telework options are not available. The role involves building and managing the infrastructure for privacy processes, including coordinating and monitoring agency data privacy training and compliance activities, managing data system access requests and approvals, supporting privacy and security procedures, and ensuring staff understand and adhere to data privacy requirements. A key aspect of this position is the development, maintenance, troubleshooting, and improvement of technology-based tracking and workflow solutions. The ideal candidate will be comfortable working with spreadsheets, formulas, automated workflows, forms, and other technology tools, identifying process issues, and independently researching and implementing solutions. Strong organizational, communication, analytical, and technical problem-solving skills, attention to detail, and the ability to manage confidential information and multiple compliance activities simultaneously are essential. Experience with Google Sheets, Apps Script, Jotform, Google Forms, and Google Data Studio/Looker Studio is highly desirable.

Requirements

  • A bachelor’s degree plus six years of experience in education, administrative services, web development, or graphic design; OR A master's degree plus four years of experience in education, administrative services, web development, or graphic design; OR A doctorate in education plus two years of experience in education, administrative services, web development, or graphic design.
  • Experience developing, maintaining, or using tracking systems, spreadsheets, databases, dashboards, or other tools to monitor information and compliance activities.
  • Experience developing, maintaining, or using tracking tools or systems to monitor projects, activities, deadlines, requests, approvals, compliance activities, or other processes.
  • Experience developing or maintaining standard operating procedures, guidance documents, training materials, or other compliance resources.
  • Strong organizational and project management skills, with the ability to manage multiple processes, deadlines, approvals, and stakeholders simultaneously.
  • Strong analytical and problem-solving skills, with the ability to identify gaps, inconsistencies, and potential compliance issues and determine appropriate next steps.
  • Strong attention to detail and demonstrated ability to identify discrepancies, missing documentation, or potential compliance issues.
  • Advanced proficiency with Google Sheets and/or Microsoft Excel, including complex formulas, lookups, conditional logic, data validation, filtering, and other spreadsheet functionality.
  • Experience with Google Apps Script or other automation tools, including the ability to understand, troubleshoot, modify, or improve existing automated processes.
  • Advanced proficiency with Jotform, including forms, submissions, workflows, integrations, and troubleshooting.
  • Ability to independently troubleshoot technical problems, research solutions, understand existing systems or processes, and implement improvements with limited direction.

Nice To Haves

  • Experience with Google Forms and Google Data Studio/Looker Studio is also preferred.

Responsibilities

  • Build, maintain, and improve tracking systems for data privacy training, data system access, data-sharing agreements, and other compliance activities using tools such as Google Sheets, Excel, Data Studio, Apps Script, and Jotform.
  • Monitor privacy compliance activities and deadlines, identify outstanding items or issues, and follow up with agency staff, supervisors, and other stakeholders to ensure requirements are completed.
  • Process and track data system access requests, including reviewing documentation, monitoring approvals, and tracking access modifications and removals.
  • Review tracking systems and technology-enabled processes for accuracy and functionality, identify errors, formula issues, workflow problems, gaps, or inconsistencies, and troubleshoot or coordinate solutions.
  • Develop reports, dashboards, and other tools to provide the Data Privacy Program Manager, Director of Research and Data Privacy, and agency leadership with visibility into privacy and compliance activities.
  • Identify and implement opportunities to streamline or automate processes, including the use of formulas, scripts, workflows, forms, and other technology solutions to improve efficiency and accuracy.
  • Develop and maintain privacy-related documentation, including standard operating procedures, guidance, training materials, communications, and other staff resources.
  • Work closely with the Data Privacy Program Manager, Information Technology, security staff, and agency offices to support privacy, security, access-control, and compliance processes; respond to questions; and support audits, reviews, and other special projects.
