About The Position

This is an Academic Support (Educational Specialist) position (#0096974T) within the Vice Provost for Student Success, Student Academic Success, Pre-Health/Pre-Law Advising Center at UH Manoa. The position is full-time and temporary, with the possibility of renewal based on performance, program needs, and funding availability. The role involves advising students on pre-professional requirements, assisting them in clarifying academic and career goals, choosing majors, developing academic plans, and preparing for professional school applications. The specialist will conduct advising sessions and workshops, prepare degree audits, and assist in managing academic advising support programs and services. Additionally, the role includes acting as an industry liaison for internships and outreach programs, communicating with student organizations, designing assessment studies, and assisting with administrative activities, including supervising student assistants. The specialist will also be responsible for communications with students via list servers, news, and web pages, and for maintaining electronic databases. A key aspect of the role is serving as a liaison to UHM's graduate and professional programs and coordinating services with other related programs. The position also involves assisting in the development and evaluation of academic advising policies and procedures, writing correspondence, and establishing positive working relationships within the UH system. The role may require evening, weekend, and/or off-campus assignments.

Requirements

  • Possession of a baccalaureate degree in education, sciences or related field with responsibilities for academic programs in higher education (admission & records, registration, or program review, assessment, advising); or equivalent education/training or experience.
  • Functional knowledge of principles, practices and techniques in academic programs in higher education (admission & records, registration, or program review, assessment, advising); demonstrated by knowledge, understanding and ability to apply concepts, terminology.
  • Functional knowledge and understanding of principles, theories, federal and state laws, rules, regulations and systems associated with academic programs in higher education (admission & records, registration, or program review, assessment, advising).
  • Demonstrated ability to recognize problems, identify possible causes and resolve the full range problems that may commonly occur in the area of academic programs in higher education (admission & records, registration, or program review, assessment, advising).
  • Demonstrated ability to understand oral and written documentation, write reports and procedures, and communicate effectively in a variety of situations.
  • Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team members and individuals.
  • Demonstrated ability to operate a personal computer and apply word processing software.
  • The ability to handle confidential information with excellent judgement and discretion required.
  • Proven ability to develop and maintain a professional, collaborative, and positive spirited environment in the office and the broader University.
  • Excellent organizational abilities with attention to detail necessary.
  • Demonstrated ability to set priorities, manage deadlines, work with diplomacy, poise and efficiency.

Nice To Haves

  • Masters' degree in education or sciences.
  • Experience in the preparation of reports for the purposes of accreditation or student assessment in the academic setting.

Responsibilities

  • Advise students on pre-professional curricular and admissions requirements.
  • Assist pre-professional students to clarify and assess academic and career goals, choose majors, develop academic plans, and prepare for and apply to professional schools.
  • Conduct group and individual advising sessions and workshops for undergraduates and prospective students.
  • Prepare and present information sessions for small groups and large audiences.
  • Prepare detailed degree audits to assess student academic progress.
  • Assist in planning, implementing and managing academic advising support programs and services.
  • Assist in the administration and implementation of all operational aspects of the program.
  • In coordination with the department leadership, acts as industry liaison for ongoing internships, outreach programs, and other external opportunities.
  • Works with industry partners to establish and maintain professional programs.
  • Communicate and collaborate with student organizations about pre-health events and opportunities.
  • Assist in designing assessment studies, conducting research and analyzing resulting data to assess learning outcomes for the programs.
  • Assists with administrative activities.
  • Works with the director on office personnel, including but not limited to hiring, training, and supervising student assistants and casual hires.
  • Assist in the documentation of student academic progress, and expedites follow up action with participants and other units on campus.
  • Responsible for communications with students by administering and updating the departmental list servers, department news, web pages.
  • Monitors, implements and updates electronic databases to record and track relevant student information.
  • Serve as liaison to UHM's graduate and professional programs.
  • Coordinates services with other UHM health- and law-related programs.
  • Assist in the development and evaluation of academic advising policies and procedures.
  • Write a variety of correspondence, program descriptions and proposals.
  • Establishes and maintains positive working relationships within the UH system necessary to accomplish these duties.
  • Work evening, weekend and/or off-campus assignments as needed.
  • Other duties as assigned.
