About The Position

The Santa Fe Institute (SFI) is seeking an Education Programs Manager to join the Education team as a vital contributor to core aspects of SFI’s educational mission. This position holds primary responsibility for managing all aspects of SFI’s in-person educational programs for university-level audiences and a strong background in events coordination is desired. SFI’s signature educational programs have been running annually for almost forty years and take place during the summer in Santa Fe; additional programs may be held during other seasons and elsewhere in the US and abroad. Our small team achieves outsized impact thanks to close collaboration across the Institute. Building on decades of experience at the forefront of complexity science research and education, our current initiatives include immersive in-person programs held nearby and abroad, and far-reaching virtual content on ComplexityExplorer.org. This position is based out of SFI’s Miller campus in Tesuque, just outside Santa Fe proper. Reliable transportation is required; the Manager is expected to coordinate events at a number of venues in the area. During summer programming, the Education staff works on-site five days a week. During the rest of the year hybrid scheduling may be possible; SFI employees are required to work on-site a minimum of three days per week. Requirements

  • At least two years of administrative experience organizing events.
  • Undergraduate college degree preferred, ideally with existing comprehension of some mathematical and science terminology, or related equivalent combination of education and professional-level work experience.
  • Must be present on-site from mid-May through August, including occasional nights and weekends according to the needs of the programs.
  • Demonstrated experience in effectively managing competing priorities and meeting tight deadlines amid frequent interruptions and changing demands.
  • Demonstrated experience in researching, analyzing, and solving problems.
  • Demonstrated experience in communicating in a clear and timely manner.
  • Demonstrated experience in taking initiative and making informed decisions independently.
  • Demonstrated experience in learning new software tools.
  • Demonstrated experience in budgeting.
  • Excellent interpersonal and cross-cultural skills including ability to work effectively with all levels of employees including executive staff, junior and senior scientists, as well as officials from external organizations.
  • Discretion in dealing with sensitive and confidential information and sensitivity to cultural differences.
  • Excellent oral and written communication skills, including proofreading, grammar, spelling, punctuation, accuracy, and attention to detail.
  • Ability to fluently use standard software, such as word processing, email, electronic transfer of files, database applications, the Microsoft Office Suite, and Salesforce.
  • Ability to learn new software packages as needed.
  • Driver’s license and reliable personal vehicle.

Nice To Haves

Responsibilities

  • Coordinating all aspects of SFI’s in-person educational programs, including preparation over the year, handling logistics and emergent situations during each program, and reporting and other activities to close out each program.
  • Supporting and contributing to other initiatives of the Education team and across SFI.
  • Overseeing setup and logistics coordination, including scheduling, contracts, and invoices for faculty, venues, contractors, meals, and transportation; may include international coordination and travel.
  • Managing participant recruitment and enrollment, including maintaining program descriptions and FAQs, promoting programs, overseeing application and registration processes, and responding to inquiries.
  • Providing oversight and support during programs, proactively coordinating with faculty, staff, contractors, and participants, and responding to needs as they arise.
  • Handling recordkeeping and reporting, including coordinating payments and reimbursements, managing budgets, and overseeing surveys and reporting of impacts and outcomes.
  • Ongoing communications and support of program alumni and faculty.
  • Collaboration within the Education team and across other teams at SFI.
  • Additional tasks and responsibilities as assigned.
