About The Position

A New York–based design and manufacturing studio creating precision-made, customizable home and architectural hardware is seeking a proactive Executive Assistant to support their Founder/CEO. This role is crucial for managing time constraints, improving scalability, and ensuring eCommerce accuracy, particularly on Etsy. The goal is to protect the executive’s time, keep the pipeline moving, and elevate customer experience while upholding craftsmanship standards. The position involves managing emails and calendars, product management on platforms like Etsy and Facebook Marketplace, updating shipping prices, inventory and supplies management, documentation, reporting, and personal assistance tasks.

Requirements

  • Hands-on Etsy experience managing product listings and images (no minimum years required).
  • Prior Executive Assistant experience supporting a founder/CEO with proven daily prioritization and verbal check-ins.
  • Excellent English communication skills (spoken and written); energetic, proactive, and personable on calls.
  • Resourceful problem-solving, strong common sense, and bias to action; you anticipate needs and remove blockers.
  • Tech-savvy with an automation mindset; comfortable using tools like ChatGPT to streamline repeatable tasks.
  • Meticulous attention to detail and quality—“craftsmanship above all else.”
  • Calm under pressure with excellent task prioritization and follow-through across competing deadlines.
  • Computer with at least 8GB RAM, an Intel i5 core processor/AMD Ryzen 5 Processor and up.
  • Internet speed of at least 40MBPS.
  • Headset with an extended mic that has noise cancellation and a webcam.
  • Back-up computer and internet connection.
  • Quiet, dedicated workspace at home.

Nice To Haves

  • eCommerce fluency beyond Etsy is a plus (WooCommerce, Facebook Marketplace, ShipStation, QuickBooks).

Responsibilities

  • Check daily inbox and manage emails.
  • Schedule and coordinate meetings, confirming logistics and preparing background information.
  • Create Facebook Marketplace listings for computers and monitors.
  • Upload new product images to Etsy listings and ensure they are live.
  • Update shipping prices in HubSpot based on the latest supplier pricing sheet.
  • Reorder packing materials, checking current stock before ordering.
  • Source from existing suppliers or find alternatives if needed.
  • Maintain the operations manual in Notion, logging product changes and policy updates.
  • Attend meetings, take notes, and distribute next steps with task owners and deadlines.
  • Coordinate cleaning supply reorders for both apartment and office.
  • Handle personal scheduling and logistics, ensuring all appointments and follow-ups are managed.
