About The Position

The E-Billing Specialist will be responsible for the implementation and coordination of all e-billing activities. This role involves working with external clients to set them up for e-billing in various third-party portals, managing client guidelines, ensuring accurate timekeeper and rate information, submitting invoices, and troubleshooting rejections and reductions. The specialist will also handle accruals, assist with collections, and stay updated on e-billing portal features. Additionally, the role requires maintaining internal databases, coordinating with internal teams, and providing support for attorney and staff access to relevant systems.

Requirements

  • Experience with the major e-billing portals (Legal Tracker, CounselGO, Brightflag, TyMetrix360, CounselLink, Collaborati, CounselGO, Passport Collaboration Portal, BillingPoint).
  • Strong Excel skills, including VLOOKUP and pivot tables.
  • Proficient in Outlook and Adobe Pro.
  • Excellent organizational and time management skills.
  • Ability to think strategically, with careful attention to detail, commitment to quality and accuracy.
  • Ability to maintain focus on priorities while meeting strict deadlines in a fast-paced and high-volume environment.
  • Ability to take the initiative and have a proactive work style.
  • Assertive, able to exercise proper judgment with solid analytical and problem-solving skills.

Responsibilities

  • Implement and coordinate e-billing activities for new and existing clients across multiple third-party portals.
  • Provide necessary client documentation such as W-9, banking information, and insurance certificates.
  • Set up new and existing clients for e-billing in 3E, coordinating with attorneys, LPAs, and MDMT.
  • Review Outside Client Guidelines (OCG) and summarize billing instructions.
  • Coordinate with Professional Standards for OCG approvals.
  • Maintain an internal database of e-billed clients and their compliance requirements.
  • Ensure matters are set up for e-billing in both client systems and 3E.
  • Maintain working timekeeper lists in 3E and ensure timekeeper approvals in e-billing portals.
  • Ensure correct rates are coded in 3E and uploaded to e-billing portals, managing annual rate increases.
  • Assist attorneys with entering budgets, status reports, and matter profile information in e-billing portals.
  • Submit invoices as LEDES files or PDFs to various e-billing portals.
  • Track all invoice submissions.
  • Understand LEDES billing formats and UTBMS codes.
  • Review invoices for adherence to client guidelines and ensure timekeeper/rate approvals.
  • Educate attorneys, LPAs, and CBCs on client guidelines to prevent errors.
  • Track client billing deadlines and inform relevant parties.
  • Identify, research, and troubleshoot rejected and reduced invoices.
  • Notify and work with attorneys, LPAs, and CBCs to resolve invoice issues.
  • Submit appeals for rejected and reduced invoices.
  • Submit write-off requests for unappealable rejections/reductions.
  • Escalate issues to e-Billing Supervisor, Billing Manager, and Director of Revenue Operations.
  • Calculate and submit monthly, quarterly, and annual accruals.
  • Look up invoice statuses for Collections and report e-billing status as requested.
  • Work with Cash Receipts to ensure correct posting of payments.
  • Attend training webinars for e-billing portals.
  • Set up attorneys and LPAs with access to Legal Tracker and resolve technical issues.
  • Perform other duties as assigned.
  • Be present at work during regularly scheduled working hours and as needed.
