About The Position

The DOT Compliance Specialist is responsible for administering and maintaining Cleveland Brothers fleet and driver compliance programs in accordance with Department of Transportation (DOT), Federal Motor Carrier Safety Administration (FMCSA), and applicable state regulations. This role serves as the internal subject matter expert on DOT compliance, ensuring driver qualification, hours of service, inspections, incident reporting, and regulatory documentation are accurately maintained across multiple systems. Working closely with the Fleet Specialist, Safety, and leadership teams, the DOT Compliance Specialist supports safe, compliant fleet operations through proactive monitoring, training, reporting, and continuous improvement efforts.

Requirements

  • High School Diploma or equivalent required.
  • 3+ years of DOT compliance or transportation operations.
  • Working knowledge of DOT, FMCSA, and state transportation regulations. (DQ Files, HOS, CSA/BASIC, Inspections, Accident Reporting)
  • Proficiency with fleet, safety and compliance systems, such as Samsara, Samba, and JJKeller, with the ability to manage alerts, dashboards and records across the systems.
  • Ability to analysis and interpret fleet date/metrics, review driver logs, DVIRs, and telematic reports. Identify trends and compliance risks. Monitoring driver compliance.
  • Effective communicator with experience delivering driver training, participating in safety meetings, and providing ongoing coaching related to DOT requirements, ELD usage, and safe driving practices.
  • Off-hour responsiveness is required.

  • Associate or bachelor’s degree in safety, transportation, supply chain, or related preferred.

Responsibilities

  • Ensure Compliance with DOT, FMCSA, and State Regulations
  • Develop and implement internal fleet compliance policies and procedures.
  • Serve as the internal subject matter expert on DOT and FMCSA regulations, staying current on regulatory updates and changes.
  • Monitor CSA scores and BASIC data accuracy, including management of DataQ submissions for contested violations.
  • Driver Qualification
  • Maintain driver qualification files, including MVRs, medical cards, CDLs, and annual review documentation.
  • Monitor Samba alerts and manage driver onboarding and records across systems such as Samsara, Holman, JJ Keller, Samba, and ADP.
  • Inspections & Reporting
  • Monitor driver logs, Hours of Service compliance, DVIRs, and vehicle maintenance records.
  • Maintain vehicle registration, licensing, and other required compliance documentation and reporting.
  • Driver Training
  • Provide training on Hours of Service, ELD/logbook usage, and DOT safety requirements.
  • Conduct safety meetings, distribute compliance communications, and provide ongoing coaching and guidance to drivers.
  • Monitoring
  • Oversee Samsara data management, compliance monitoring, and alert reporting.
  • Identify and monitor borderline drivers while maintaining compliance records and program documentation.
  • Incident Reporting and Investigation
  • Serve as the primary point of contact for vehicle incidents and accident reporting.
  • Assist with accident investigations, track violations and trends, support corrective actions, and ensure required incident reporting is completed.
  • Roadside Inspection
  • Review and sign roadside inspection reports, notify leadership when necessary, and support corrective action follow-up.
  • Active participant in department initiatives and supporting the Fleet Specialist
  • Collaborate on departmental initiatives and provide ongoing support for fleet operations, compliance, and safety objectives.
