About The Position

The DOT Compliance & Fleet Safety Specialist is responsible for administering and overseeing the Company's DOT and Fleet Safety programs to ensure strict adherence to the Federal Motor Carrier Safety Regulations (FMCSRs) and internal policies. This role manages the end-to-end execution of driver qualifications and drug and alcohol testing while monitoring fleet safety data and compliance trends. Additionally, this position serves as the primary support and alternate point of contact for the Sr. Manager of DOT Compliance & Fleet, ensuring the integrity and confidentiality of all regulated driver records. This position can be located at any of our office locations, including Fargo, ND; Indianapolis, IN; Centennial, CO; and Phoenix, AZ. If located within 60 miles of an office location, we work an onsite schedule. Based on the experience and skill set of the individual identified, we are open to a remote-based role with ability to travel to our office locations to support events or department activities.

Requirements

  • Three to five years’ of relevant experience
  • Previous DOT Compliance experience required
  • Take reasonable care of your own and other’s health and safety and of those who may be affected by the day-to-day delivery of this role by taking personal responsibility for working toward the company’s Zero Injury principles
  • Strong working knowledge of DOT regulations, driver qualification requirements, and recordkeeping standards
  • Familiarity with Compliance, Safety, and Accountability (CSA) scores and compliance metrics
  • Strong organizational skills with the ability to manage multiple priorities and deadlines
  • High attention to detail with excellent documentation and accuracy skills
  • Excellent written and verbal communication skills
  • Critical thinking and sound judgment in compliance-related decision-making
  • Proficiency with Microsoft Word, Excel, PowerPoint, and database systems
  • Ability to effectively communicate with employees at all levels in the organization

Responsibilities

  • Oversee the DOT Compliance and Fleet Safety processes to ensure adherence to company policy and federal regulations
  • Serve as the subject matter resource for all DOT compliance-related inquiries
  • Conduct and support internal/external DOT audits
  • Prepare quarterly, annual, and ad hoc compliance reports to track fleet safety performance and regulatory status
  • Manage the full lifecycle of DOT Driver Qualification (DQ) files, ensuring accuracy, confidentiality, and strict adherence to retention requirements
  • Monitor and coordinate the timely renewal of all DOT-regulated documentation, including medical certifications, driver's licenses, and annual MVR reviews
  • Analyze telematics and safety data; including inspections, MVR alerts, and driving behaviors-to identify trends and ensure driver eligibility
  • Complete annual driver reviews and update records regarding violations, telematics findings, and disciplinary actions in coordination with People & Culture and field leadership
  • Maintain confidential drug and alcohol testing records in compliance with FMCSR; coordinate with Third-Party Administrators (TPAs) to ensure timely testing notification, completion, and data entry
  • Provide timely notification to field leadership and administrators regarding driver status changes, compliance deficiencies, or removals from driving
  • Monitor training completion reports and update compliance-related training materials and documentation as needed to reflect current standards
  • Collaborate with HR, vendors, and field teams to collect missing information, resolve documentation issues, and support the onboarding of new drivers
  • Assist in the preparation of compliance-related presentations and communications
  • Other duties as assigned
