About The Position

The Donor and Board Relations Coordinator plays a vital role in advancing the mission of the MultiCare Foundation by supporting the Executive Director in two key areas: board engagement and donor stewardship. This position ensures the smooth operation of board and committee activities while also helping cultivate meaningful relationships with annual and mid-level donors. The ideal candidate is highly organized, relational, and mission-driven—someone who thrives on connecting people to purpose and creating exceptional experiences for volunteers and donors alike.

Requirements

  • Two (2)+ years of experience in fundraising, donor relations, volunteer coordination, or a related field.
  • Strong interpersonal and written communication skills; enjoys connecting with people in person and by phone.
  • Highly organized with the ability to manage multiple priorities and meet deadlines with attention to detail.
  • Proficiency in Microsoft Office (Outlook, Word, PowerPoint); willingness to learn donor CRM tools (e.g., Raiser’s Edge).
  • Ability to work independently, exercise sound judgment, and maintain confidentiality.

Nice To Haves

  • Experience in a healthcare, nonprofit, or mission-driven organization preferred.
  • Familiarity with donor stewardship strategies, moves management, or volunteer board governance preferred.
  • Understanding of HIPAA regulations related to fundraising and patient privacy preferred.

Responsibilities

  • Serve as the primary staff liaison to the Foundation Board and its committees, ensuring a high level of professionalism, discretion, and confidentiality.
  • Coordinate all logistics for board and committee meetings, including scheduling, agenda preparation, materials distribution, and follow-up meetings.
  • Prepare the annual board calendar and support onboarding and orientation for new board and committee members.
  • Partner with the Executive Director and Board Chair to ensure board processes align with bylaws and governance best practices.
  • Support the Executive Director in preparing talking points, scripts, and presentations for board leadership.
  • Maintain historical records, policy manuals, and board documentation in coordination with the Practice Leader – Board Affairs.
  • Maintain database to ensure boards and regional board members are coded correctly.
  • Conduct outreach to annual and mid-level donors via phone, email, and handwritten notes to express gratitude, share updates, and invite engagement.
  • Coordinate donor meetings, site tours, and stewardship experiences for the Executive Director and other key staff.
  • Assist in implementing stewardship touchpoints such as impact updates, birthday messages, holiday cards, and recognition plans.
  • Support donor cultivation strategies by identifying opportunities for deeper engagement and flagging potential prospects for further qualification.
  • Provide Raiser’s Edge support to the Executive Director, including tracking proposals, actions, and donor notes.
  • Assist in planning and executing small donor gatherings, board-hosted events, and community engagement activities.
  • Ensure events are donor-centered and reinforce the Foundation’s gratitude and impact narrative.
  • Manage RSVPs, invitations, follow-up communications, and day-of logistics to ensure a seamless donor experience.
  • Collaborate with Foundation colleagues across the local region and system-wide to align donor strategies and share insights.
  • Represent the Foundation at internal and community events, strengthening relationships with department leaders and executive staff.
  • Monitor the hospital’s patient database (Epic) for VIP inpatients, cross-referencing with wealth screening tools to identify engagement opportunities.
  • Coordinate with Account Managers to ensure appropriate recognition and follow-up for patient prospects.
  • Respond to inquiries from external organizations about fundraising opportunities and supporting third-party events naming the Foundation as a beneficiary.
  • Serve as needed as a liaison for Foundation and Shared Services on a project-by-project basis. For example, in preparation for a local stewardship or fundraising events, RE updates, annual fund thank you to donors, etc.
  • In close coordination with the executive director, the board coordinator should proactively engage with the hospital president’s office and executive staff to support their participation in board activities, including the communication of hospital priorities, upcoming initiatives, and key messaging. By fostering clear and timely engagement between hospital leadership and foundation board volunteers, the coordinator helps ensure strong alignment and collaboration in support of shared philanthropic goals.
