About The Position

Solvere Technical Group LLC is seeking a responsible Documentation and Administrative Specialist to perform a variety of administrative and clerical tasks. This position will provide day-to-day administrative support for the OPC business, focusing on communications, documentation, task tracking, briefings, and meeting support. The role involves developing various documents, tracking action items, supporting ceremonial events, coordinating special programs and media events, drafting communication products, managing administrative items in the review and approval process, and arranging official command travel.

Requirements

  • Minimum of Four (4) years of office environment documentation support.
  • Bachelor’s Degree or a minimum of four years of relevant experience in lieu of a degree.
  • Knowledge of Microsoft Office software suite, including Word, PowerPoint, and Excel.
  • General document processing and management skills.
  • Ability to research, collect, develop, and consolidate data for report preparation.
  • Knowledge of standard processing procedures, formats, and distribution for correspondence, presentations, and reports.
  • Must have SECRET clearance.

Responsibilities

  • Provide day-to-day administrative and documentation support for OPC business, including communications, documentation capture, writing, task tracking, briefings, and meeting support.
  • Develop PowerPoint presentations, emails, documents, white papers, spreadsheets, graphs, generate program documentation, and record meeting notes and action items.
  • Participate in ceremonial related meetings and track action items requiring specific Surface Program personnel response or resolution, relaying information and potential resolutions to the Surface Program lead.
  • Support all ceremonial efforts (e.g., keel laying, christening, commissioning), including correspondence, coordination with other CG directorates, preparation and tracking of invitational guest lists, and review/editing of print packages.
  • Support the coordination of special programs and media events, including researching and gathering information for media queries and maintaining a history file of program-related media.
  • Draft communication products such as literature, trifolds, and handouts, and forward information through the CG-9 communications team.
  • Maintain tracking for and support administrative items in the review and approval process, including decisional memoranda, MSAM documents, agreement memoranda (MOUs, MOAs, IAAs), personnel training, member evaluations, certifications, and awards.
  • Perform all necessary arrangements for official command travel using the USCG travel system, including airline reservations, billing, hotel accommodations, rental car reservations, and travel document origination/processing.
  • Maintain information, detailed itineraries, schedules, and other records of official travel.
  • Coordinate travel and create detailed itineraries for Distinguished Visitors.
  • Ensure all official protocol obligations and requirements are met.
  • Maintain the Command Official Guest Register.
