About The Position

McMillan has an exciting full time opportunity as a Document Specialist as part of our Document and Administrative Support Hub (“DASH”) team. The role of the Document Specialist is to serve as a subject matter expert, providing our Legal Professionals and Legal Administrative Assistants with high-level onsite and remote document and administrative support on complex and time-sensitive matters. The role is full time from Monday to Friday. This position located in our Toronto office requires the applicant to work onsite two days per week as part of our Hybrid schedule. This position is being posted to fill an existing vacancy.

Requirements

  • Minimum 7–10 years of progressive, relevant experience, ideally in a medium to large law firm environment
  • Deep expertise as a Document Specialist, with a demonstrated track record in document production
  • Expert-level proficiency in Microsoft Word, with strong proficiency in PowerPoint and Excel
  • Well-honed analytical, editing, and proofreading abilities
  • Demonstrated experience mentoring colleagues or leading document production initiatives
  • Strong client service and communication skills, with the ability to correspond professionally and effectively with internal clients at all levels
  • Proactive and detail-oriented, with the ability to work both independently and collaboratively under tight deadlines on complex, high-priority matters
  • Flexible and willing to work overtime or provide statutory coverage when required
  • Strong working knowledge of legal terminology, documents, and procedures
  • Self-motivated and quick to master new processes and technical tasks
  • Actively drives process improvements and contributes to a client-first culture
  • Plays a leadership role in ensuring efficient, high-quality document production support across the firm

Responsibilities

  • Performing complex document processing and formatting, including advanced styles, templates, cross-referencing, and tables of contents
  • Designing and formatting sophisticated PowerPoint presentations
  • Leading and participating in technology initiatives and process improvement projects
  • Providing expert-level troubleshooting support and problem resolution
  • Managing and prioritizing incoming work requests and logging them through the team's workflow management system
  • Performing advanced PDF manipulation, including creating fillable forms, redaction, bookmarking, hyperlinking, and organizing large-scale PDF files
  • Proofreading complex legal documents for formatting, spelling, grammar, and accuracy
  • Mentoring and providing guidance to junior team members
  • Communicating with internal clients regarding work requests
  • Providing general administrative support as required
