The Receptionist/Document Coordinator is responsible for lobby and reception coverage, administrative duties, administrative support, electronic mail distribution, checks and deposits and coordination of various tasks associated with the office and all management and staff. Requirements

  • 1 – 3 years of administrative office duties preferred
  • Exceptional written and verbal communication skills
  • This position requires the incumbent to sit up to seven and a half (7.5) hours a day, work on the computer or other office equipment up to seven and a half (7.5) hours a day, and the employee may be required to work beyond an seven and a half (7.5) hour business day occasionally.
  • The position is fast paced and required someone who is comfortable in a multi-tasking environment.
  • 1-2 years of relevant experience
  • High school or equivalent

Responsibilities

  • Pick up mail from the post office in the morning
  • Open and sort all mail.
  • Checks – code, deposit and copy for distribution to Account Manager. Includes handling of commission checks.
  • Daily Scan and electronically assign all mail to the appropriate CAM/PAM through EPIC. This includes any mail assigned to SC or NC HUB offices.
  • Store HUB hard copies of mail in file cabinet and clean out each week.
  • Order any necessary supplies for the scanner and set up appointments when maintenance is required.
  • Manages the answering/transferring of all incoming calls to Columbia and other Carolina offices.
  • Greets/directs all visitors and non-visitors in lobby area.
  • Opens/closes Columbia office (lock/unlock doors, turn on/off lights).
  • Coordinates maintenance/cleanliness of ALL conference rooms for employees, clients, etc.
  • Distributes FAXES via email “continuously” throughout day.
  • Order any necessary supplies for the mail machine and set up appointments when maintenance is required.
  • Orders office supplies for the office via Staples, Amazon and coffee distributor.
  • Responsible for ordering of all ink cartridges for printers in Columbia, SC office.
  • Also, liaison for the Ricoh printer repairs and service calls.
  • Works with property management company on building maintenance/repair issues along with Office Support Manager.
  • Handles “as-needed” requests from producers, CAMS, PAMS for typing letters, stuffing envelopes, etc.
