About The Position

The Document Specialist Employee Service Representative (ESR) works in a high-performance team environment on the front line of employee support focused on ensuring client and employee satisfaction. The Document Specialist ESR’s primary responsibility is to verify, validate, track, and report on required employee documents. This position provides support and communication to new and existing employees to ensure their required credentials are valid and remain in compliance. This position is considered non-exempt, hourly, and is eligible for remote/hybrid work after a training period. ESI is the leading provider of educational staffing solutions in Arizona.

Requirements

  • High School Diploma or GED.
  • Three years of experience performing superior customer service.
  • Three years of heavy computer/clerical experience.
  • Effective oral and written communication skills.
  • Must have reliable transportation for potential daily office commute.
  • Must pass a background check.
  • Proficiency in Microsoft Word, Excel, and Outlook.
  • Ability to learn and use multiple software systems.
  • Ability to operate a variety of standard office equipment (e.g., computer, telephone, copy machine, and other related office equipment).
  • Ability to build sustainable relationships of trust through open and interactive communication.
  • Aptitude to learn job-related material primarily through oral instruction and observation in an on-the-job training setting.
  • Composure to work under pressure to meet deadlines and ability to handle problems and tasks that come up simultaneously or unexpectedly.

  • Previous experience in education or human resources a plus.

Responsibilities

  • Handles large volume of employee documents utilizing electronic systems to receive, track, and save documents.
  • Responds to and provides a high level of employee service regarding inquiries on required documents.
  • Runs monthly reports for expiring employee documents.
  • Sends communications and responds to employees with upcoming expiring documents.
  • Answers routine email correspondence with completeness, accuracy, timeliness, and quality.
  • Verifies validity of documents using various agency sources such as Arizona Department of Education and Department of Public Safety.
  • Assists employees with renewal process for employee documents.
  • Answers human resource related questions tactfully and courteously.
  • Organizes and maintains large volume of electronic employee files with meticulous updating.
  • Updates employee statuses in database as well as the absent management systems.
  • Works and supports the team environment to meet both individual and team objectives.
  • Uses software applications for word processing, spreadsheets, database input and maintenance, electronic file management, and related tasks.
  • Provides back up support in the office and on the phones for Employee Service team.
  • Builds sustainable relationships of trust through open and interactive communication.
  • Performs special projects as directed.
  • Maintains regular and reliable attendance during office hours.
  • Other duties as assigned.
