About The Position

We are seeking an organized and detail-oriented Document Management Representative, who will be accountable for administering the application and renewal process from intake through to completion.

Requirements

  • Two or three-year college program.
  • 1 to 3 years’ experience performing similar duties.
  • Knowledge of College policies and processes related to registration.
  • Knowledge of databases for tracking information.
  • Knowledge of office/administrative software (Excel, Word, Outlook).
  • Written communication skills to prepare and respond to correspondence.
  • Attention to detail to screen a high volume of documentation and navigate between several databases to find information.
  • Organizational and time-management skills to manage a high volume of application files and adhere to processing times and deadlines.
  • Verbal communication and customer service skills to respond to inquiries.

Responsibilities

  • Review and process membership applications and renewals.
  • Ensure completion of required forms and enter information into the membership management system.
  • Prepare and respond to correspondence with applicants and members.
  • Process payments for membership applications and renewals.
  • Follow-up with applicants/members to resolve payment issues, and collaborate with the Corporate Services Department to reconcile and record accounts.
  • Respond to inquiries regarding registration related matters and resolve outstanding issues.
  • Work with management and other teams in the Department to ensure smooth transition of application and renewal files requiring follow-up on issues potentially affecting practice and redirect them to other teams.
  • Keep up-to-date with applicable legislation, trends and practices.
  • Perform any other related tasks as needed.
