About The Position

Reporting to the Manager - Capital Projects Engineering, the Senior Document Control position is responsible for the accurate management, control, distribution, and archiving of project documentation for capital projects. This role ensures that technical, commercial, and regulatory documents are current, traceable, and compliant with project, company, and statutory requirements throughout the project lifecycle.

Requirements

  • Diploma or degree in Information Management, Business Administration, Engineering Technology, or a related discipline, or equivalent experience
  • 3+ years of document control experience, preferably on mining, industrial, or large capital projects
  • Experience working within EPC/EPCM and site-based project environments
  • Proficiency with document management systems and Microsoft Office (Excel, Word, Outlook)
  • Strong understanding of document control principles, workflows, and lifecycle management
  • Previous experience on mining, heavy industrial, or infrastructure capital projects
  • Familiarity with engineering and construction documentation (IFC drawings, MDRs, vendor data)
  • Experience supporting construction and commissioning phases
  • Knowledge of records retention requirements and audit processes
  • Ability to manage high document volumes in fast-paced project environments
  • Strong organizational skills with exceptional attention to detail
  • Effective communication and stakeholder coordination skills
  • Ability to work at a remote location camp on a 2 weeks on/2 weeks off rotation
  • Comfortable working and living in close quarters with the team
  • Ability to maintain high levels of performance over 12-hour shift
  • Ability to lift/move up to 50lbs throughout a work shift
  • Ability to work in extreme weather conditions.

Responsibilities

  • Demonstrate effective safety leadership by addressing and enforcing BW Golds safety standards, procedures, and safety systems.
  • Establish, implement, and maintain document control procedures for capital projects in accordance with company and project standards.
  • Manage the receipt, registration, distribution, tracking, and archiving of all project documentation including: Engineering drawings and specifications, Vendor and contractor documents, RFIs, transmittals, MDRs, and submittals, Construction, commissioning, and as-built/record documentation
  • Ensure correct version control, revision history, and document status at all times
  • Administer document management systems (e.g., Aconex, SharePoint, OpenText, Procore, or similar)
  • Maintain accurate document registers, logs, and metadata
  • Support audits by ensuring document traceability and retrieval
  • Interface with engineering, procurement, construction, commissioning, and operations teams
  • Coordinate document exchanges between owners, EPC/EPCM contractors, vendors, and site teams
  • Ensure timely distribution of documents to relevant stakeholders
  • Verify documents meet project quality requirements and naming conventions
  • Support compliance with regulatory, environmental, and safety documentation requirements
  • Manage project close-out documentation, including handover packages and turnover to operations
  • Provide document control status reports and metrics
  • Identify and recommend improvements to document control processes
  • Support lessons learned and continuous improvement initiatives
