About The Position

Structure Tone, part of the STO Building Group, is seeking an experienced Document Controller with a strong background in mission critical projects, including data centers, high-tech facilities, and other fast-paced construction environments. The Document Controller will be responsible for managing, organizing, tracking, and maintaining all project documentation throughout the project lifecycle while ensuring accuracy, compliance, and timely distribution of information to project stakeholders.

Requirements

  • 3 to 5 years of experience in a document control related role
  • Experience with large-scale commercial, industrial, or mission critical projects preferred
  • Experience with Microsoft Office, Bluebeam, ShareFile, Dropbox, Word and Excel
  • Ability to identify and resolve problems proactively and effectively
  • Strong attention to detail and organizational skills.
  • Ability to work under pressure and meet deadlines.
  • Understanding of design drawings

Nice To Haves

  • CMiC (construction management software) experience a plus

Responsibilities

  • Manage and maintain all project documentation, including drawings, RFIs, submittments, specifications, contracts, reports, permits, and closeout documents.
  • Establish and maintain document control procedures in accordance with project and company standards.
  • Process, log, distribute, and track incoming and outgoing project documentation.
  • Ensure all revisions and updates are accurately recorded and distributed to the appropriate project teams.
  • Coordinate with project managers, superintendents, engineers, subcontractors, clients, and consultants to ensure document accuracy and timely communication.
  • Maintain electronic and hard copy filing systems for all project records.
  • Monitor document workflows and ensure deadlines for submittments, RFIs, and approvals are met.
  • Support quality assurance and compliance requirements for mission critical construction projects.
  • Assist with project closeout documentation, turnover packages, O&M manuals, and as-built drawings.
  • Generate reports and maintain logs for document tracking and project status updates.
  • Ensure confidentiality and security of sensitive project information.
