About The Position

STV, a nationally recognized leader in construction management, engineering, architecture, planning, and environmental services, is seeking a Document Control Specialist to join its Construction Management division at its Long Island City, NY field office. The ideal candidate will be proficient in using technology for daily tasks, possess strong communication skills for effective team collaboration, and be capable of managing multiple responsibilities under deadline pressure.

Requirements

  • Proficiency in Microsoft Office Suite, with expertise in Excel.
  • Experience with Bluebeam/Adobe Acrobat.
  • Demonstrated experience with routine Document Control hardware and software, such as scanners.
  • Bachelor's Degree in Construction Management, Engineering, or a related field.
  • Minimum of 3 years full-time experience in project management, design, construction, operations, administration, architectural electrical or mechanical plumbing, or a related field.
  • Detail-oriented and highly organized.
  • Self-starter attitude with a proactive, results-oriented focus.
  • Willing and capable to assume additional responsibilities.
  • Effective oral and written communication skills.
  • Ability to interface with a variety of people with different technical levels and educational backgrounds.
  • Ability to produce accurate and timely results while maintaining a positive customer-service attitude.

Nice To Haves

  • Experience with large-scale Document Control Software, with Procore being highly desirable.
  • Previous experience in a construction environment, with an understanding of the construction process and coordination of various entities in the industry.
  • Previous experience managing a Document Control effort for a large-scale construction project.
  • Experience with public agencies contract administration.

Responsibilities

  • Control, scan, index, link, electronically file, and distribute documents using Procore or other Project Management Tools.
  • Distribute internal and external correspondence, technical submittals, project reports, Requests for Information, and contract plans and specifications.
  • Prepare transmittals, distribute documents, and retrieve documents.
  • Assist Project Managers and the Project Team with all matters related to project documents, including control and distribution.
  • Process project documents and maintain document control files in accordance with project procedures.
  • Provide both electronic and hard copy document distribution and filing support.
  • Establish and maintain files, including receiving, indexing, and scanning documents.
  • Manage various project documents such as correspondence, field memos, submittals, pay requests, drawing logs, safety notices, RFIs, and photos.
