About The Position

The Document Control Specialist is responsible for collecting and maintaining documented information necessary to control product realization processes throughout the project. This includes ensuring electronic distribution, access, and retrieval, ensuring availability at the point of use, and ensuring relevant personnel are notified. Primary emphasis is on quality documentation and record integrity.

Requirements

  • Proficient in MS Professional Office Suite including Bluebeam, Excel, Word, Access, and PowerPoint and/or similar Project Management software.
  • Experience with project management software systems, such as EBuilder, SharePoint, Prolog, Expedition, and Constructware.
  • Must be detail oriented, thorough, well organized, and effectively manage time.
  • Ability to multi-task in a high-energy environment and be able to prioritize multiple tasks.
  • Have a background in construction or engineering-related work activities to understand the terminology used in the office environment on a daily basis.
  • Must be flexible and able to work in a very fast-paced work environment and at times under the pressure of meeting critical deadlines.
  • Excellent verbal and written communication skills.
  • Experience in document control, filing systems, meeting minutes, RFI/Submittal, potential change orders, change orders, and other construction-related project documents.

  • Knowledge in EBuilder and Alpha.

Responsibilities

  • Collect and maintain documented information necessary to control product realization processes throughout the project. This includes ensuring electronic distribution, access, and retrieval, ensuring availability at the point of use, and ensuring relevant personnel are notified.
  • In collaboration with all stakeholders, assure timely distribution of documentation to all appropriate users, and assure that obsolete documentation is removed from work areas.
  • Collaborate closely with those assigned to document control duties, as applicable.
  • Facilitate communication between relevant groups related to documentation, including driving corrective action activity on issues needing improvement.
  • Perform administrative duties to generate documents as necessary, with inputs from subject matter experts.
  • Assist in the establishment and maintenance of the site-specific documentation procedures.
  • Utilization of the following computer software programs includes, but is not limited to, EBuilder, Alpha, Bluebeam, Prolog, Procore, and Microsoft Office Suite.
  • Maintain tracking/trending logs.
  • Lead control of documented information activities.
  • Train others on document control procedures.
  • Effectively present information in one-on-one and small group situations to next-level managers, fellow employees, and stakeholders.
