About The Position

This position is responsible for creating an efficient document control program to standardize document control across the department. The role involves developing, implementing, and managing document control procedures to ensure a reliable and efficient system for handling, tracking, storing, and retrieving all project-related documentation. The goal is to ensure all documentation is accessible and up to date for active projects and to facilitate an efficient workflow during the execution phase so proper documents are available for all project team members.

Requirements

  • Demonstrable experience managing document control across multiple contracts and project phases (design, procurement, construction, closeout).
  • Proven experience in developing and implementing document control plans and procedures.
  • Capability to handle high-volume, fast-paced workloads and meet strict deadlines.
  • Strong computer skills, including proficiency with the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook and Teams).
  • Thorough understanding of construction industry documentation, including drawings, specifications, RFIs, submittmits, and change orders; as well as familiarity with Construction Standards Institute (CSI) codes and their application in document filing.
  • Ability to work independently and effectively in an integrated, co-located team environment; and excellent organizational, communication, and interpersonal skills.
  • 5+ years of experience in document control and management on large-scale, complex construction projects.
  • Bachelor’s degree - Construction management or engineering preferred

Nice To Haves

  • At least five years of Industry experience (EPC, AEC and/or Construction) preferred.

Responsibilities

  • Develop, manage, and update document control procedures and systems to provide a reliable method for handling, tracking, storing, and retrieving all relevant department documents.
  • Train Project Managers and Project Engineers on all procedures.
  • Update and maintain the procedures and systems as needed.
  • Enable storing of physical hard copy documentation and transition to digital.
  • Maintain and track existing hard copy documentation.
  • Ensure all project documents adhere to the uniform filing and records management system requirements, including the specified folder structure and file attributes.
  • Perform routine QC verifications across the department to ensure that procedures are effectively enabling timely and efficient distribution of documents, proper storage and tracking of all original documents, entering record documents into the system, effective storage of hard copies of project submittals, timely archival of models and all collaborative data in digital form, release of project documents to the correct departments and personnel, proper storage of records of construction work activities and upload complete sets of progress photos and visual records, and effective storage and distribution of all documents from and to the Construction Contractors.
  • Support Project Managers and Project Engineers on document control as needed.
  • Perform other duties as assigned.
