About The Position

Group PMX is seeking a Document Control Manager to manage, upload, review, route, and maintain project documentation within MTA. This role involves ensuring documents are correctly tagged, version-controlled, and distributed through Unifier workflows. The Document Control Manager will maintain document registers and logs, monitor document status, and ensure compliance with MTA standards. Additionally, this position will track and update project KPIs, coordinate monthly report collection, compile reports for management, and support management dashboards. The role also involves supporting the Cost Controller in tracking and processing Design-Build (DB) invoices, verifying supporting documentation, and assisting in maintaining cost logs. Coordination with finance, contracts, and project teams to resolve invoice discrepancies is also a key function. The Document Control Manager will support the PMC team in tracking project control points, milestones, deliverables, and approvals, assist in monitoring schedule compliance, and maintain logs for action items, approvals, and decision points. Finally, the role provides documentation and reporting support for internal reviews, audits, and executive briefings.

Requirements

  • Bachelor’s degree in Finance, Business Administration, Construction Management, Engineering, or related field
  • 3+ years of experience in document control, project controls, or financial support roles within capital projects or infrastructure
  • Hands-on experience with Oracle Primavera Unifier (or similar project management systems)
  • Strong proficiency in Microsoft Excel, Word, and reporting tools
  • Strong organizational skills with high attention to detail
  • Ability to manage multiple priorities in a fast-paced, deadline-driven environment

  • Experience working on MTA, public sector, or transportation infrastructure projects

Responsibilities

  • Manage, upload, review, route, and maintain project documentation within MTA
  • Ensure documents are correctly tagged, version-controlled, and distributed to appropriate departments through Unifier workflows
  • Maintain document registers and logs, ensuring accuracy, traceability, and audit readiness
  • Monitor document status and follow up with internal and external stakeholders on overdue or missing documentation
  • Ensure compliance with MTA document control standards and procedures
  • Track, update, and maintain project KPIs related to cost, schedule, and document performance
  • Coordinate monthly report collection from consultants, contractors, and internal teams
  • Compile, validate, and generate monthly and ad hoc reports for management review
  • Support management dashboards and summary reports to ensure timely and accurate project visibility
  • Support the Cost Controller in tracking and processing Design-Build (DB) invoices
  • Verify invoice supporting documentation for completeness and alignment with contract requirements
  • Assist in maintaining cost logs, invoice registers, and financial tracking tools
  • Coordinate with finance, contracts, and project teams to resolve invoice-related discrepancies
  • Support the PMC team in tracking project control points, milestones, deliverables, and approvals
  • Assist in monitoring schedule compliance and progress against established project controls
