About The Position

Our mission... To equitably protect and empower consumers and workers while maintaining a predictable yet innovative regulatory environment for the businesses we regulate. The Department of Consumer and Business Services (DCBS) is a progressive business regulatory state agency dedicated to the mission of protecting and serving Oregon's consumers and workers while supporting a positive business climate. The department administers state laws and rules governing workers' compensation, occupational safety and health, financial institutions, insurance companies and building codes. The department has consumer protection and education programs, offices, and ombuds to help consumers, injured workers, and businesses. This position is with the Building Codes Division (BCD). BCD adopts and enforces the statewide building code relating to the construction, reconstruction, alteration and repair of buildings and other structures and the installation of mechanical, plumbing, and electrical devices and equipment. This position is represented by the American Federation of State, County and Municipal Employees union (AFSCME).

Requirements

  • Two years of secretarial or basic administrative support experience that includes records processing, generating documents, and gathering and sorting data OR An associate degree in general office occupations and one year of experience with records processing, generating documents, and gathering and sorting data OR An equivalent combination of education and experience
  • Experience in developing positive and respectful working relationships with agency staff and diverse stakeholders to research and resolve conflicts, sensitive issues, or problems
  • Experience working with internal and external customers from varied backgrounds to research and resolve conflicts, sensitive issues, or problems
  • Experience with applying processes, procedures, rules and regulations, and record retention standards
  • Ability to implement and monitor short- and long-term agency goals
  • Experience facilitating travel and travel reimbursement
  • Familiarity with public meeting processes

Responsibilities

  • Establishing and maintaining procedures for customer service related to the Housing and Building Safety Section.
  • Facilitating travel and travel reimbursement for the division.
  • Coordinating fiscal-related activities, tracking various deliverables, and facilitating a smooth work flow.
  • Coordinating activities across the division to ensure communication and operations operate smoothly
  • Assisting management with developing procedures systems and forms necessary for the delivery of services
