About The Position

The Distributions Specialist is responsible for verifying and entering distribution requests into the system, answering incoming calls, contacting necessary parties for distribution questions, and preparing paperwork for scanning. This role supports CNB's strong relationship culture through quality customer service and superior product knowledge, resolving problems efficiently and responding timely. The position requires excellent administrative, data entry, and communication skills, with the ability to multitask and use various office equipment. Knowledge of IRS regulations relating to IRA accounts is also necessary.

Requirements

  • One to two years at a college or technical school preferred.
  • One to three years of customer service or finance experience preferred.
  • Excellent administrative skills including planning, record keeping, proofreading, and attention to detail.
  • Excellent skills in data entry.
  • Excellent communication skills.
  • Ability to type, file, answer the phone, and use a ten-key.
  • Ability to multi-task.
  • Knowledge of word processing and spreadsheet software.
  • Knowledge of basic mathematical calculations including fractions and percentages.
  • Ability to read and write.
  • Knowledge of IRS regulations relating to IRA accounts.

Responsibilities

  • Verify and enter distribution requests into the system network.
  • Review distribution requests for errors and omissions.
  • Verify distribution posting totals.
  • Answer incoming phone calls and provide prompt responses.
  • Contact necessary parties in the event of distribution questions.
  • Sort and organize paperwork to prepare for scanning.
  • Ensure client information changes are processed.
  • Process brokerage & cryptocurrency statements.
  • Process K-1s and submit related payments.
  • Verify & file certificates in "vault".
  • Scan & index offering documents.
  • Complete other duties as assigned.
  • Provide superior customer service by resolving problems efficiently and responding timely.
  • Identify and implement solutions to problems in general and urgent matters.
  • Actively seek to add and enhance knowledge regarding developments and current trends in the industry.
  • Seek counsel of supervisor on issues as appropriate.
  • Work collaboratively with staff to maintain a team environment.
  • Be flexible to accept additional assignments as requested by leadership.
  • Cross train for other positions to cover when necessary.
  • Maintain professionalism while representing CNB (onsite, professional and community events and via communications).
  • Participate and attend meetings as requested.
  • Recommend policies and procedures as it relates to area of responsibility.
  • Provide timely responses to inquiries for information to customers, staff, and vendors.
  • Answer telephone calls and provide a prompt response.
  • Follow CNB's policies and procedures.
