About The Position

The Dispatcher will implement and maintain an effective dispatch system for the service department. This role involves scheduling shop work to maximize productivity, ensuring adherence to dealership policies and technician skill levels, and executing Standard Operating Procedures. The Dispatcher will manage Repair Orders in AutoPoint, prioritize comebacks, and ensure accurate documentation on every repair order, including Complaint, Cause, and Correction with punch times. They will also monitor job status, report any changes in time or cost estimates, and maintain professional customer contact. Additionally, this role involves reviewing completed repair orders, ensuring technicians follow warranty procedures, and preparing lists of needed equipment and supplies. Compliance with relevant regulations is also a key responsibility. The Dispatcher will maintain shop workflow and cleanliness, manage shop equipment, and perform other assigned tasks.

Requirements

  • High school diploma or the equivalent.
  • Two years of experience in a service dealership position.
  • Strong organizational, multitasking, and communication skills.
  • Excellent listening, customer service, and phone skills.
  • Ability to read and comprehend instructions and information.
  • Professional personal appearance.
  • Excellent oral and written communication skills.

Responsibilities

  • Implement and maintain an effective dispatch system
  • Schedules shop work to facilitate maximum productivity in accordance with dealership policy and the technician's skill level.
  • Executes the service SOP (Standard Operating Procedures) at all times.
  • Ensures Repair Orders are properly dispatched in AutoPoint
  • Prioritizes and controls all comebacks to ensure proper and prompt attention.
  • Ensures proper repair order documentation, i.e., Complaint, Cause, and Correction noted on every repair order with punch time for each operation.
  • Review job status frequently, logs status, and report any change in time or cost estimates to the appropriate service advisor or customer.
  • Maintain timely and professional contact with service customers.
  • Reviews hard copies of repair orders turned in by technicians to ensure that assigned work has been performed and the repair order has been completed correctly.
  • Ensures that technicians follow warranty materials disposition procedures.
  • Prepares a list of needed service department equipment, supplies, and required repairs and reviews with the service manager as needed.
  • Understands and complies with federal, state, and local regulations, such as hazardous waste disposal, OSHA Right to Know, etc.
