Requirements

  • High school diploma or GED required
  • 1–3+ years of dispatching or scheduling experience [HVAC, plumbing, electrical, or field service preferred]
  • Strong organizational and multitasking skills
  • Excellent verbal and written communication skills
  • Ability to remain calm in fast-paced, high-volume environments
  • Strong customer service and problem-solving abilities
  • Proficient in Microsoft Office and dispatching software [ServiceTitan, FieldEdge, Service Fusion, or similar]

Responsibilities

  • Schedule, dispatch, and route HVAC service technicians based on priority, skill set, location, and availability.
  • Monitor technician schedules in real time and adjust for emergencies, delays, or cancellations.
  • Coordinate same-day and next-day service calls efficiently.
  • Gather accurate service details and enter work orders into the system.
  • Provide appointment confirmations, arrival windows, and updates to customers.
  • Create, update, and close service tickets in dispatch or field service software.
  • Track technician status [enroute, on-site, completed].
  • Communicate clearly with technicians regarding job expectations, parts availability, and schedule changes.
  • Assist with after-hours or emergency dispatching as required.
  • Maintain service KPIs such as: On-time arrival rate, First-time fix rate, Customer satisfaction, and Jobs completed per day
