About The Position

The Director of Workplace & Operations is responsible for how work happens at FJC. This role leads the systems, technology, workflows, office operations, and shared ways of working that enable a distributed, national organization to operate with clarity, consistency, and scale. At FJC, the “workplace” encompasses both physical and digital environments: collaboration platforms, core technology systems, data infrastructure, operational norms, and office operations. The Director brings strong operational and technical expertise, translating organizational priorities into reliable systems, effective processes, and high-quality day-to-day execution. The Director manages a small, experienced team and serves as a key operational thought partner to the Vice President, Finance & Operations, surfacing tradeoffs, managing risk, and ensuring operational infrastructure keeps pace with organizational growth and complexity.

Requirements

  • 8+ years of progressive experience in operations, technology, workplace systems, or related roles, with increasing scope and responsibility
  • Demonstrated experience of supervising and leading teams, while managing complex systems in a distributed or hybrid organization
  • Strong technical fluency across SaaS platforms, collaboration tools, and device management, with the ability to oversee systems without serving as a hands-on IT specialist
  • Proven project management experience delivering cross-functional initiatives from planning through execution
  • Excellent written and verbal communication skills, with the ability to translate complex operational and technical concepts for diverse audiences
  • Strong organizational and prioritization skills, with the ability to manage multiple workstreams, assess tradeoffs, and maintain clarity in a fast-paced, distributed environment
  • A high level of internal customer service orientation, grounded in responsiveness, follow-through, and a collaborative approach to problem-solving
  • Demonstrated leadership skills, including the ability to guide teams, influence without authority, and support staff with varied skill sets and working styles
  • Sound judgment, discretion, and adaptability when navigating ambiguity, change, and competing priorities
  • Must be able to lift and /or move up to 10 pounds
  • Must be able to sit, walk, stand, talk & hear for long periods of time

Nice To Haves

  • Experience overseeing Managed Service Providers (MSPs) preferred but not required
  • SharePoint and Salesforce experience preferred; familiarity with FJC’s core technology stack (Microsoft 365, Asana, Slack, Zoom) is a plus
  • Experience in nonprofit, philanthropic, or mission-driven organizations preferred

Responsibilities

  • Lead day-to-day workplace and operations functions, providing high-level internal customer service that is proactive, responsive, and grounded in an understanding of how staff and programs operate
  • Build a culture of strong behind-the-scenes support, ensuring teams with varied skill sets are equipped with the systems, guidance, and infrastructure they need to do their best work
  • Own and evolve FJC’s shared ways of working, including documentation standards, operating guides, standard operating procedures, and collaboration norms
  • Balance flexibility with consistency so teams can work efficiently without unnecessary friction, duplication, or burnout
  • Oversee FJC’s full technology ecosystem, including collaboration tools, core business systems, and data platforms (Microsoft 365 including SharePoint, Salesforce, Asana, Slack, Zoom, and related systems)
  • Provide leadership and technical direction for system selection, configuration, documentation, and ongoing evaluation
  • Establish a clear vision for how FJC uses our shared organizational workspace, including information architecture, permissions, content governance, and standards that support clarity, collaboration, and institutional knowledge retention as the organization grows (Current System: M365/SharePoint)
  • Oversee device and hardware lifecycle management (laptops, peripherals, inventory, replacement cycles) through the Manager, Operations & Technology
  • Manage the relationship with the Managed Service Provider (MSP), setting priorities, monitoring performance, and escalating issues as needed
  • Ensure the technology stack supports a secure, productive, and scalable distributed workforce, including evaluating and phasing out old technology and systems when necessary
  • Provide strategic oversight of Salesforce and related data systems in partnership with the Senior Manager, Data & Operations
  • Ensure Salesforce and connected platforms are configured and governed to support FJC’s Programs, Grantmaking, Fundraising, and Learning & Research teams with efficient workflows, accurate reporting, and meaningful insight
  • Ensure data quality, reporting standards, and system integrations support internal decision-making and external engagement
  • Support platforms that shape how the field engages with FJC, including event systems and partner-facing tools
  • Lead a culture of continuous improvement by regularly evaluating systems, workflows, and tools to ensure they remain effective, relevant, and aligned with how the organization works
  • Lead responsible exploration, adoption, and training of AI and automation to reduce low-value manual work and improve consistency
  • Apply strong project management practices to system implementations, upgrades, and cross-functional initiatives, ensuring realistic scoping and delivery
  • Oversee office operations and facilities through the Manager, Operations & Technology, including physical space, security, access, vendors, and onsite support needs
  • Ensure office practices align with a hybrid and remote workforce while maintaining safety, accessibility, and professionalism
  • Provide leadership for enterprise risk management (ERM) related to workplace operations, technology, vendors, and systems
  • Oversee cybersecurity practices in partnership with the MSP, including access controls, device security, incident readiness, and staff training
  • Ensure data protection, backups, retention, and business continuity practices are aligned with organizational risk tolerance and growth
  • Support the annual renewal and management of business insurance in coordination with Finance, HR, and external partners
  • Reduce single points of failure through documentation, cross-training, and resilient operational processes
  • Manage and support the Manager, Operations & Technology and the Senior Manager, Data & Operations, providing clarity, coaching, and accountability
  • Coordinate indirect oversight of the Salesforce Administrator to ensure alignment and prioritization
  • Manage key vendors and consultants, including contracts, performance expectations, and service levels
  • Other tasks and projects as assigned by the Vice President, Finance & Operations
