About The Position

Bishop Hartley High School seeks a mission-driven, highly organized, and service-oriented leader to serve as the Director of State and Federal Programs. This position oversees all state-funded scholarship programs, state auxiliary and federal title services, compliance reporting, and related administrative processes that support student access, affordability, and school operations. The Director plays a critical role in helping families navigate scholarship opportunities and ensuring the school maximizes eligible state and federal resources. This individual must demonstrate exceptional attention to detail, financial stewardship, discretion, and a deep commitment to communicating with families in a manner that is clear, compassionate, professional, and responsive. As a key member of the school community, the Director must embrace the mission of Catholic education and contribute positively to a culture rooted in faith, service, excellence, and care for every family.

Responsibilities

  • Lead all operational responsibilities for Ohio scholarship programs, including but not limited to: EdChoice Scholarship Program (Determine eligibility, guide families, communicate timelines, submit applications, process forms, maintain attendance, enter assessment data, monitor low-income reports, maintain student data, complete annual renewal documentation) and Jon Peterson Scholarship Program (Determine eligibility, assist families, create MOUs, submit and maintain records, process tuition, maintain reporting, complete annual renewal documentation).
  • Administer state and federally supported nonpublic school programs, including: Auxiliary Services (Review requests, obtain quotes, process requisitions, coordinate approvals, manage purchase orders, deliveries, invoices, inventory, maintain budgets and records), Title II (Support professional development, process approvals and reimbursements, maintain budgets and records), Title IV (Coordinate purchases, process requisitions, orders, and budget tracking), and NPDS / Title Consultation Processes (Submit ADM data, coordinate consultations, maintain records).
  • Prepare and submit Administrative Cost Reimbursement (ACR) reports.
  • Collect quarterly documentation from faculty and staff.
  • Track deadlines and maintain compliance calendars.
  • Support state testing data preparation and reporting.
  • Administer Free & Reduced Lunch Program processes, including applications, qualification notices, reporting, and student data updates.
  • Monitor and pursue additional Ohio grant opportunities aligned to school priorities.
  • Serve as a trusted point of contact for families seeking tuition assistance and scholarship guidance.
  • Explain complex processes in simple, respectful, and encouraging ways.
  • Respond promptly to parent questions and concerns.
  • Provide proactive reminders so families do not miss important deadlines.
  • Represent Bishop Hartley with warmth, professionalism, and empathy in all interactions.
