About The Position

Easterseals NH is excited to announce we are hiring for Director of Property Maintenance. This person will oversee all aspects of maintenance operations and management for all agency owned and leased properties, including commercial, housing, education centers, residential homes, treatment centers and general office space. Ensure all owned and leased properties are safe, clean, and work is completed at a high standard.

Requirements

  • Bachelor's degree or technical/trade certificate/diploma preferred
  • Ten (10) years of leadership experience within Facility Management and Multi-Family property maintenance, including supervision of total staff of 45+ employees
  • Thorough understanding of maintenance best practices, safety compliance, HVAC, electrical and mechanical systems
  • Thorough understanding of inventory control and technology in managing maintenance functions.
  • Workplace safety experience and knowledge of fair housing laws preferred
  • Valid driver’s license and reliable transportation

Responsibilities

  • Head of the Maintenance department that services multiple sites.
  • Top leader for 45+ staff, including maintenance managers, maintenance technicians, housekeepers, and administrative staff
  • Responsible for oversight and management of all owned and leased properties relating to Maintenance, Renovation, Safety, Security and Housekeeping.
  • Work in collaboration with SVP of Property & Housing Development (SVP of PHD), assist with renovations of existing properties, major moves within the agency and acquisitions of new property
  • Manage and assign service requests and work orders to ensure requests by staff or clients/tenants are completed in a timely manner and a high quality of work
  • Serve as the Agency’s main contact for vendors, landlords and insurance claims relating to all owned and leased facilities
  • Oversee vendor RFP process, scheduling and contract negotiations for preventative maintenance and annual inspections (elevators, sprinkler systems, HVAC systems, fire alarms, etc.)
  • Responsible for hiring and trainings of maintenance managers and department staff
  • In coordination with property management admin, design and maintain an online asset database, cataloging equipment purchase date, serial/model numbers, warranty information, etc.
  • In coordination with SVP of PHD, oversee all major emergency maintenance situations that require an insurance claim, restoration work or major repairs
  • In collaboration with SVP of PHD and SVP of Property Management, complete annual capital needs assessments
  • Maintain or develop systems and policies that ensure work is high quality and completed efficiently, safely and timely.
  • In coordination with facilities managers, conduct semi-annual facilities inspections and audits of all properties to proactively address issues and concerns
  • Develop and maintain relationships with property owners and property managers of all leased facilities. Work to resolve any disputes or unmet needs, and meet and exceed expectations of the programs in facilities.
  • Work collaboratively with program leadership for safety related or major facilities requests
  • General knowledge of local building and safety codes
  • Ability to learn new facilities and property management software, and quickly identify and resolve issues
  • Responsible to review and monitor the occupancy, operational and capital budgets for all facilities with the assistance of the Finance Partner.
  • Analyze department structure and make recommendations to SVP of Property Management for changes to improve departments effectiveness and outcomes
  • Be available after-hours for elevated emergency situations to assistance with vendor and contractor coordination, manage on-call schedule
  • In coordination with the SVP of Property Management and VP Property Management and Housing Development, develop and monitor maintenance department budget
  • Assist with capital planning for all building assets and infrastructure
  • Review and approve estimates, purchase orders, invoices, and lien releases for maintenance related items
  • Develop, implement, and continuously maintain systems to inventory agency owned equipment, tools and maintenance assets
  • Stay current with OSHA regulations and training requirements. Oversee and follow up on any notices and or inspections (in conjunction with safety staff).
  • Work collaboratively with local, state, Fire and Health Departments and oversee compliance with facility codes and requirements.
  • Play a key role in the oversight of the Agency’s Risk Management and serve on the Agency’s Risk Management Committee
  • Work in collaboration with the Training Center of Excellence to ensure that staff participate in relevant training and instruction in safety related areas concerning maintenance issues to include hazard communications, emergency situations, etc.
  • Play a leadership role on the Agency’s safety committee and developing plans for natural disasters and emergencies to ensure minimal impact to building assets
  • Follow up on Incident reporting and the Incident Review Process concerning incidents related to maintenance hazards or issues
  • Responsible for Security implementation, training and oversight of all facilities including upkeep and execution of Crisis management communication and planning for the department.
  • Work collaboratively with other departments within the agency to build communication, maximize resources and develop shared goals.
  • Provide leadership and demonstrated commitment to the mission, vision and values of the agency.
  • Identify appropriate outcome goals and monitor regularly.
  • Participate on Agency committees and teams as requested (e.g. Safety Committee, Risk Management, etc.)
