This is a management level position responsible for leading staff in the maintenance department. The Director of Facilities & Fleet Operations is responsible for overseeing all maintenance, facilities, and fleet operations across Arrowleaf’s service area. This role ensures that all buildings, grounds, and vehicles are safe, functional, and well-maintained through strong leadership, preventative maintenance systems, and effective project execution. This position requires strong organizational, communication, and technical skills, including the ability to effectively use software systems to track work, manage projects, communicate with leadership, and oversee budgets. The Director serves as an on-call resource for facility and fleet-related emergencies and works in close collaboration with the Chief Safety, Security & Risk Officer to ensure all environments meet safety and compliance standards.

Requirements

  • Bachelor’s Degree in Facilities Management, Construction Management or related field is preferred.
  • Minimum 5 years of experience in facilities, maintenance, or operations.
  • Minimum 2 years of supervisory experience.
  • Demonstrated experience with budget management and project oversight.
  • Strong proficiency with computer systems and software for tracking, communication, and reporting.
  • Strong leadership and accountability management
  • Proficiency in Microsoft Office and operational software systems
  • Strong organizational skills, documentation, and note-taking ability
  • Excellent communication and follow-up.
  • Knowledge of building systems and general carpentry principles
  • Working knowledge of fleet operations and vehicle maintenance
  • Ability to manage projects from planning through completion
  • Strong problem-solving and decision-making skills.
  • Must be available for after-hours, weekend, and emergency response
  • Must be 21 years of age or older
  • Ability to regularly travel to all agency sites when appropriate
  • Must complete and maintain the required registry clearance and criminal fingerprint background checks
  • Maintain First aid & CPR certification
  • Must have a valid driver’s license and proof of vehicle liability insurance.

Responsibilities

  • Oversee all agency facilities, grounds, and physical plant operations
  • Ensure all environments are safe, clean, functional, and compliant
  • Maintain systems for routine and preventative maintenance
  • Supervise and support maintenance team members and site leads
  • Establish clear expectations, accountability, and performance standards
  • Coordinate workload across all locations
  • Maintain clear and consistent communication with leadership and program staff
  • Ensure timely follow-up on maintenance requests and projects
  • Maintain organized documentation, notes, and tracking systems
  • Provide regular updates to the Chief Executive Officer
  • Utilize software systems to track work orders, maintenance requests, and project progress
  • Maintain accurate digital records for facilities and fleet operations
  • Use data to improve efficiency, response times, and accountability
  • Develop and enforce preventative maintenance schedules
  • Proactively identify and resolve facility issues before escalation
  • Plan and oversee facility and capital improvement projects
  • Coordinate contractors, vendors, and internal teams
  • Ensure projects are completed on time and within budget
  • Oversee agency vehicle fleet management
  • Ensure vehicles are properly maintained, inspected, and compliant
  • Develop and manage facility and fleet budgets
  • Monitor expenses and ensure cost-effective decision-making
  • Determine when work should be completed internally vs. contracted externally
  • Partner with the Chief Safety, Security & Risk Officer to ensure timely correction of identified safety risks
  • Support compliance with safety and emergency preparedness standards
  • Serve as on-call support for facility and fleet emergencies
  • Respond to issues impacting safety, operations, or service delivery
