About The Position

The Digital Marketing & Marketing Operations Manager will manage Xite’s day-to-day marketing execution, with a strong focus on website content, listing publication, thought leadership, digital visibility, and brand consistency. This person does not need to be a web developer or graphic designer, but they should be comfortable working inside WordPress or a similar website platform, publishing content, using templates, managing digital assets, and coordinating with outside agency or design resources when needed. The right candidate is a practical “Swiss Army knife” marketer: someone who can write, organize, publish, manage projects, use AI effectively, create basic visuals, and keep marketing moving without needing constant direction. This role specifically emphasizes the need for someone who can manage the website, publish listings, create regular content, use hub-and-spoke content strategy, keep digital profiles accurate, and coordinate with agency support when needed.

Requirements

  • 3+ years of experience in marketing, digital marketing, content marketing, communications, or a similar role.
  • Comfort working in WordPress or another content management system.
  • Strong writing, editing, and proofreading skills.
  • Ability to turn rough notes, transcripts, conversations, or bullet points into polished content.
  • Comfort using AI tools as part of a modern marketing workflow.
  • Basic design ability using Canva, Adobe Express, Adobe Creative Suite, or similar tools.
  • Strong project management, organization, and follow-through.
  • Ability to manage multiple priorities, vendors, deadlines, and internal stakeholders.
  • High attention to detail and strong judgment around brand consistency.
  • Self-starter who can identify what needs to be done and move it forward.

Responsibilities

  • Manage routine website updates in WordPress or a similar content management system.
  • Create draft listing pages using existing templates, input listing details, coordinate internal review, and publish approved listings.
  • Manage the marketing lifecycle for active practice listings, including launch content, website publication, email distribution, social promotion, buyer outreach support, listing updates, status changes, and post-close content opportunities.
  • Coordinate listing-related assets such as teasers, summaries, buyer-facing materials, website pages, email announcements, NDA or data-room links, and internal tracking.
  • Update website pages, team bios, service pages, insights, listings, and other content as needed.
  • Help maintain website organization, including tags, categories, navigation, and internal linking.
  • Document and improve basic SOPs for posting listings, updating website content, and managing marketing workflows.
  • Maintain and update marketing-related information in Salesforce, including tracking leads, contacts, campaign activity, conference follow-up, referral sources, and other sales and marketing data to help ensure the team has accurate, organized, and actionable information.
  • Help design, document, and improve lead-management workflows from website forms, listing inquiries, conference activity, referral sources, email campaigns, social activity, and other inbound or outbound marketing channels.
  • Work with leadership and outside technical resources to ensure leads are captured, routed, categorized, followed up on, and tracked accurately.
  • Identify opportunities to use forms, automations, campaign tracking, email sequences, task creation, segmentation, alerts, and follow-up reminders to improve marketing execution and speed-to-lead.
  • Help organize and maintain marketing lists, audience segments, campaign lists, referral sources, buyer groups, seller prospects, conference contacts, and other relationship-based marketing data.
  • Support campaign execution and nurture workflows by coordinating audiences, content, approvals, scheduling, tracking, and follow-up.
  • Maintain practical visibility into marketing-source attribution, campaign performance, lead status, referral source, listing engagement, conference follow-up, and conversion activity.
  • Translate marketing and business needs into clear workflow requirements for internal users, Salesforce support, web vendors, or automation partners.
  • Develop a consistent content calendar for insights, articles, market updates, listing-related content, and thought leadership.
  • Turn internal conversations, Q&A sessions, transcripts, notes, and leadership input into clear, useful content.
  • Use AI tools to draft, organize, repurpose, and improve content while maintaining accuracy, tone, and brand standards.
  • Build content around important client questions and core service areas using a hub-and-spoke approach.
  • Refresh and update content regularly so the website stays current and relevant.
  • Keep Xite’s digital information accurate across Google Business Profile, LinkedIn, Facebook, Instagram, Glassdoor, review sites, and other relevant platforms.
  • Monitor and help manage online reputation, reviews, third-party profiles, and brand mentions.
  • Support visibility in traditional search and AI-driven search by keeping content accurate, current, and well-organized across digital channels.
  • Structure website content so Xite’s expertise, services, listings, locations, specialties, and FAQs are easy for traditional search engines and AI-driven search tools to understand.
  • Help maintain clear, accurate, well-organized service pages, location pages, FAQ content, internal links, metadata, and reusable explanations around Xite’s core services.
  • Create basic marketing assets using Canva, Co-Pilot, Claude, Chat, Adobe Express, or similar tools.
  • Use approved templates and brand standards for social posts, listing materials, email graphics, flyers, and other marketing pieces.
  • Coordinate with outside designers or agency partners for more advanced design, print files, layout work, or overflow needs.
  • Maintain an organized library of templates, images, logos, bios, listing assets, and reusable content.
  • Serve as the day-to-day marketing contact for outside agencies, designers, web partners, printers, freelancers, and other vendors.
  • Provide organized copy, images, direction, and feedback so outside partners can work efficiently.
  • Track projects, collect internal approvals, and make sure marketing tasks do not stall due to missing information or unclear ownership.
  • Coordinate Xite’s conference and event marketing process, including tracking upcoming conferences, managing deadlines and deliverables, communicating with event organizers, coordinating sponsorship or booth requirements, and ensuring all marketing materials, signage, handouts, digital assets, and follow-up items are prepared and delivered on time.
  • Maintain a consistent, professional presence on key social platforms, especially LinkedIn.
  • Repurpose listings, insights, leadership commentary, market observations, and company updates into short-form posts.
  • Create simple graphics, captions, and occasional video or visual content when appropriate.
  • Track and report basic marketing performance across website traffic, listing engagement, email campaigns, lead sources, content performance, social activity, and campaign follow-up.
  • Use reporting to identify what content, campaigns, listings, geographies, specialties, or referral sources are producing meaningful activity.
  • Maintain simple dashboards, scorecards, or recurring reports that help leadership understand marketing activity and results.
