Outreach is hiring a Full-Time Development Operations Specialist based at Outreach Central Office in Carol Stream to support the Resource Development team through high-level administrative, operational, and donor support functions. This role serves as a central coordination point for donor operations-including CRM management, gift processing, and moves management tracking. The Development Operations Specialist also provides executive-level support to Resource Development leadership, assists with donor events, and offers front desk coverage as needed to ensure smooth and professional office operations.

Requirements

  • Bachelor’s degree and 1-2 years of administrative experience and office management preferred, or 5 years of administrative experience and office management required.
  • Close attention to detail, highly organized and efficient, strong customer service orientation, and relational style.
  • Robust written and oral communication skills, strength in proofreading and editing.
  • Strong technical skills in MS Word, Excel, PowerPoint, Outlook, Slack, and Databases.
  • Flexibility to work additional hours in peak fundraising seasons (some nights and weekends as needed).

Responsibilities

  • Serves as primary support for the donor database, ensuring accurate, timely updates and adherence to data standards.
  • Maintains and monitors donor engagement activity to support strategic fundraising efforts.
  • Processes gifts and coordinates receipting with accurate and timely gift entry, acknowledgments, and compliance with donor standards.
  • Supports donor events through assisting in event logistics, materials, attendance tracking, and follow-up communications.
  • Supports Resource Development leadership with calendar management, meeting coordination, and special projects.
  • Helps to organize workflows, systems, and processes to improve efficiency and scalability.
  • Prepares mailings, maintains filing systems, and produces donor and board-related communications.
  • Manages inventory, ordering, and tracks departmental expenses.
  • Coordinates thank-you efforts, donor communications, and recognition in partnership with the development team.
  • Assists with event execution, cross-trains in database functions, and provides backup support where needed.
  • Provides front desk and reception support.
