About The Position

The Oregon Shakespeare Festival (OSF) is seeking a highly organized and collaborative Operations Coordinator to support our Development team. This role is ideal for someone who enjoys working behind the scenes to ensure donor data, communications, and operations run smoothly—and who thrives in a detail-driven, mission-focused environment. As Development Operations Coordinator, you’ll be a central hub for donor data integrity, communications coordination, and operational support. You’ll help power OSF’s Individual Giving and Major Gifts efforts by maintaining accurate records, coordinating timelines, and supporting donor engagement strategies. This role blends administrative precision with cross-team collaboration and offers opportunities to grow within a dynamic fundraising environment.

Requirements

  • Have 2+ years of experience in development, marketing, customer service, or administrative operations.
  • Have experience working with CRM systems (Tessitura preferred).
  • Bring strong attention to detail and a commitment to data accuracy.
  • Are highly organized and able to manage multiple projects and deadlines simultaneously.
  • Communicate clearly and collaborate effectively across teams.
  • Are comfortable learning new tools and systems (Asana, Airtable, Outlook, etc.).
  • Enjoy supporting mission-driven work and building strong relationships.

Nice To Haves

  • Experience in a theatre or performing arts organization.
  • Advanced proficiency in Microsoft Office tools.
  • Experience managing office supply inventory or administrative logistics.

Responsibilities

  • Maintain accurate donor and Member records in Tessitura, including contact details, communications, and gift documentation.
  • Build and route email campaigns, newsletters, and direct mail communications while tracking timelines and ensuring alignment with OSF’s brand and mission.
  • Assist Individual Giving and Major Gifts teams by maintaining donor plans, preparing materials, and coordinating key communications and reporting.
  • Support planning and logistics for donor visits and offsite trips, including scheduling, itineraries, and briefing materials.
  • Conduct research and wealth screening to support fundraising strategies and maintain updated donor insights.
  • Assist with budget tracking, credit card reconciliation, and general office coordination including supply management.
  • Work across teams and with external vendors to coordinate production and delivery of donor materials and communications.
  • Represent OSF as an ambassador and support a collaborative, inclusive workplace aligned with organizational values.
