About The Position

The Development Coordinator will coordinate or assist in the coordination of key Foundation events such as Charity Ball, gala, golf, Ambassadors events, toy drive and other large and small-scale fundraising events. This role is responsible for managing and executing key Foundation events, including existing and new fundraising events, and coordinating staff and volunteer fundraising efforts and activities. The position utilizes Raiser's Edge database and event management software to manage donor events, registration, and donor recognition. The Development Coordinator also creates invitations and promotional materials, assists in oversight of selected committees, manages event logistics, and serves as a liaison to volunteer-based fundraising committees. Additionally, this role coordinates Foundation print projects, writes and distributes donor thank-you letters and news releases, assists with donor recognition programs, prepares event packets, tracks financial statistics, and supports external grant programs. The position handles correspondence, list management, scheduling, and public contact for the Foundation, supports the Estate Planning program, and coordinates the Foundation's calendar of events. The Development Coordinator is the first point of contact for fund-raising inquiries, greets visitors, screens calls, and handles correspondence. The role also involves cross-training for other administrative duties within the Foundation, such as gift deposits, financial data entry, accounts payable, and restricted gifts processing.

Requirements

  • Associate's Degree in marketing, communications, event planning or non-profit management required.
  • 3 or more years' experience in event planning preferred.
  • 3 or more years' experience in marketing, data collection/analysis, working with volunteers preferred.
  • 3 or more years' experience in a non- profit organization, preferred.
  • Detailed oriented.
  • Excellent interpretive/analytical skills.
  • Working knowledge of MS Office & Macintosh skills.
  • Experience in Raisers Edge, preferred.
  • Creative thinker with the ability to proactively develop new ideas.
  • Excellent problem-solving skills.
  • Excellent writing/editing and oral communication skills.
  • Team player, self-motivated, can lead multiple projects independently from concept to completion.
  • Ability to work with volunteers, board members, donors and community leaders.
  • Maintain confidentiality and protect sensitive data at all times.
  • Prolonged periods of sitting and exert up to 10lbs of force occasionally.
  • Lifting of boxes of materials for special events.
  • Perform repetitive tasks/motions.

Responsibilities

  • Coordinate or assist in the coordination of key Foundation events such as Charity Ball, gala, golf, Ambassadors events, toy drive and other large and small-scale fundraising events.
  • Manage all event details relating to silent auction, sponsor packets, upkeep of donor contact information and giving levels from year-to-year.
  • Manage and execute key Foundation events including existing and new fundraising events.
  • Coordinate staff and volunteer fundraising efforts and activities.
  • Use Raiser's Edge database and event management software to manage donor events, manage registration for events, gala and donor recognition event as well as other events as necessary, including running reports, initiating projects and extracting key data.
  • Create invitations and promotional materials and is proficient in the use of online invitation software as necessary.
  • Assist in oversight of selected committees, including coordinating meeting times, agendas, follow up and administrative support.
  • Manage event logistics, registration, attendance, and acknowledgements.
  • Work as liaison to the volunteer-based fund raising committees by attending committee meetings, taking notes, transcribing minutes, following up on individual committee member's duties and responsibilities, reporting to the Directors and finalizing all plans for the events in cooperation with the Directors and volunteers.
  • Coordinate Foundation print projects including but not limited to mailings, annual giving, employee giving, major gift, planned giving, renewals, and various fund raising programs.
  • Write and distribute donor thank-you letters, emails and news releases.
  • Assist with Foundation programs to recognize the contributions of donors.
  • Prepare committee and event packets and information for presentations, sponsorship solicitations and meetings as needed.
  • Track financial statistics associated with events.
  • Provide analysis of actual expenses compared to budget.
  • Adhere to financial accountability.
  • Support external grant programs by monitoring and managing receipt and distribution of materials for Board review, maintaining spreadsheets, notifying grant recipients, and distributing funds as approved by the Board, as necessary.
  • Handle correspondence, list management (including upkeep of donor data base), scheduling and contact with the public for the Foundation.
  • Support Estate Planning program by communicating and confirming appointment times with participants.
  • Coordinate calendar of events, meetings and related arrangements for the Foundation.
  • Be the first point of contact for fund-raising inquiries ensuring excellent customer service, if needed.
  • Greet visitors in a welcoming and professional manner; screen telephone calls, is a resource for routine and non-routine inquiries and referring calls on as appropriate; handle routine and non-routine correspondence (both written and electronic) and referring correspondence on as appropriate.
  • Cross train to provide other administrative duties in Foundation such as making gift deposits, financial data entry, accounts payable and restricted gifts processing.
