About The Position

The Coordinator—Development serves as a key partner to the Development team, supporting strategic priorities, tracking fundraising performance, and helping guide data-informed decision-making across the Development department. This role is central to ensuring the accuracy, integrity, and effective use of donor data to support fundraising success. The position is responsible for overseeing gift processing and compliance, managing and optimizing the Tessitura database, and delivering timely, actionable reporting. In addition, the Coordinator supports cross-departmental collaboration, donor experience functions, and essential administrative operations that contribute to the overall effectiveness of the Development team.

Requirements

  • Bachelor’s degree preferred
  • 3–5 years of experience in development operations, database management, nonprofit fundraising, or administrative coordination.
  • Strong experience working within Tessitura or a comparable CRM system is important, along with advanced proficiency in Excel and other reporting tools.
  • This role requires excellent proofreading skills, a high level of attention to detail and a strong commitment to maintaining data integrity, as well as the ability to manage sensitive and confidential information with discretion.
  • The ideal candidate is a highly organized, detail-oriented professional with strong technical, analytical, and communication skills who thrives in a collaborative environment and is passionate about supporting donors and patrons of the performing arts.

Responsibilities

  • Support fundraising initiatives, including campaigns, donor communications, renewals, and stewardship efforts
  • Serve as a strategic partner to the Development team, supporting day-to-day priorities and long-term initiatives
  • Maintain and manage donor and patron records in Tessitura, ensuring accuracy, consistency, and data integrity
  • Serve as the primary Tessitura administrator for the Development Department, including system updates, data imports/exports, and database cleanup projects
  • Oversee the timely and accurate processing and acknowledgment of all financial, cash, in-kind, and trade gifts, pledges, and invoices, ensuring compliance with IRS regulations and nonprofit best practices
  • Generate gift acknowledgements and tax letters in a timely manner
  • Coordinate regular reconciliation of contributions with Finance and maintain accurate reporting
  • Develop, generate, and distribute standard and custom reports, including weekly and monthly gift and statistical reports for Development staff and leadership
  • Support list building, campaign tracking, and prospect research
  • Serve as the primary liaison to the Ticket Office for donor, sponsor, and VIP ticketing needs, including managing ticket inventory, donor benefits, and resolving ticketing concerns
  • Manage distribution and tracking of donor benefits
  • Assist in planning and staffing donor and sponsor events, including receptions, RSVPs, and related communications (evenings and weekends as needed)
  • Prepare, update, and proof donor-facing materials, including program books, donor listings, acknowledgement letters, solicitations, marketing content, and website materials to ensure accuracy
  • Provide proposal and grant support by gathering materials, creating templates, and maintaining timelines
  • Support daily administrative operations of the Development Department, including scheduling, calendar management, meeting coordination, and materials preparation
  • Maintain department planning documents and coordinate calendars across departments
  • Oversee department mailings, including coordination with vendors (mail house, printer, volunteers, post office)
  • Other duties as assigned
