About The Position

The USTA Mid-Atlantic Foundation, one of 17 sections of the United States Tennis Association, is seeking an eager, organized, and detail oriented Development Coordinator to join a dynamic and growing team. This role sits within the Development department, which leverages tennis as a tool to build community and character while raising funds to make the sport more accessible to all. The Development Coordinator opportunity is well suited for a young professional looking to launch a career in nonprofit management or an experienced administrator ready to bring strong operational and financial skills to a mission driven development office. The Development Coordinator will serve as the operational backbone of the Development team, with primary responsibility for donor database administration, CRM data integrity, and financial recordkeeping. This includes managing accounts payable and receivable, expense tracking, budget reconciliation, and supporting monthly financial reporting. The role also includes generating data driven reports to monitor fundraising performance, donor engagement, and sponsorship outcomes. Beyond data and financial management, the Development Coordinator will actively support donor and sponsor stewardship through timely communication, acknowledgment, and impact reporting. Additional responsibilities include conducting donor research, tracking sponsorship agreements and deliverables, supporting event planning and execution, and maintaining the team's annual workplan in a project management system. Requirements

  • High School Diploma (or GED or High School Equivalence Certificate).
  • 1 to 3 years experience working in a nonprofit Advancement office.
  • Proficiency in project management platforms such as ClickUp and Customer Relationship Management (CRM) systems such as CharityEngine.
  • Experience with project management tools and maintaining team work plans.
  • Strong written and verbal communication skills with the ability to engage a diverse group of donors, sponsors, and partners.
  • Ability to work independently and as part of a team with a self-motivated and entrepreneurial approach.
  • Strong attention to detail, time management, and complex problem solving skills.
  • Must reside in the Mid-Atlantic region (MD, DC, VA, WV).
  • Ability to sit, stand, and walk frequently throughout the workday.
  • Ability to lift up to 25 pounds with or without assistance.
  • Ability to perform repetitive motions using hands and arms.
  • Must have reliable transportation.

Nice To Haves

  • Associate's Degree, trade certification, or relevant professional development coursework preferred.
  • Bachelor’s Degree preferred.
  • Knowledge of Customer Relationship Management (CRM) systems, capital campaigns, or major gift fundraising is a plus.
  • Expertise in use of technology for Advancement activities including database tracking and reporting, research, email marketing, social media, and online giving communications.
  • Experience supporting event coordination and logistics is a plus.

Responsibilities

  • Maintain accurate donor and financial records, ensure data integrity, and generate meaningful reports within CRM and accounting systems.
  • Manage accounts payable and receivable, expense tracking, budget reconciliation, and financial reporting to support organizational accountability.
  • Oversee multiple workstreams simultaneously, including sponsorship agreements, event logistics, and project management systems with strong attention to detail.
  • Engage donors, sponsors, and partners through timely and professional communication, acknowledgment, and stewardship to advance fundraising goals.
  • Conduct prospect and donor research, compile impact reports, and translate data into actionable insights to support team strategy and donor accountability.
  • Maintain accurate and up-to-date donor and financial records within CRM and accounting systems.
  • Generate data driven insights and reports to monitor fundraising performance, donor engagement, and sponsorship outcomes.
  • Support data integrity efforts and ensure compliance with privacy and confidentiality standards.
  • Oversee day-to-day administrative operations for the Development team, ensuring timely and accurate reporting and recordkeeping.
  • Manage financial transactions, including accounts payable and receivable, expense tracking, reimbursements, and budget reconciliations.
  • Assist in preparing financial and performance reports to support departmental and organizational decision-making.
  • Assist with donor cultivation and stewardship mailings, electronic follow up, and other related efforts.
  • Track and manage sponsorship agreements, deliverables, and recognition fulfillment.
  • Support the stewardship of donors and sponsors through timely communication, acknowledgment, and impact reporting.
  • Conduct donor research as requested by the Development team, primarily focused around corporate sponsors, foundations and individual donors.
  • Support the team in compiling impact reports that demonstrate donor contributions and program success.
  • Assist in the maintenance of records for monthly financial reporting on donations for our accounting department.
  • Maintain and update the Development annual workplan in project management system.
  • Help prepare sponsorship agreements, create invoices, and maintain cadence of follow up and moves management.
  • Track and support sponsorship agreements by ensuring benefits are entered and managed in team project management system.
  • Track all Development team accounts receivable from donors, sponsors, foundations, and follow up as needed.
  • Track all Development team accounts payable to ensure timely payment of vendors and partners.
  • Assist in outreach and follow-up for sponsorships and auction items for events and general support.
  • Support the planning, coordination, and execution of fundraising and donor engagement events.
  • Manage event timelines, vendor coordination, and guest lists.
  • Track event expenses and provide post event reporting and evaluation.
  • Attend events as required.
  • Other duties as requested.
