About The Position

The Development Coordinator strengthens ChicagoCAC’s fundraising capacity by ensuring the accuracy, usability, and strategic value of the organization’s donor database. This position plays a key role in optimizing data systems, identifying gaps or inefficiencies, and advancing solutions that support high-performing fundraising operations. Success in this role looks like: A clean, reliable CRM that supports timely reporting, donor insights, and strategic fundraising decisions. Proactive identification of workflow challenges and implementation of creative, sustainable improvements. Consistent delivery of high-quality, detail‑oriented work. Strong collaboration with colleagues and stakeholders to ensure systems are accessible, accurate, and aligned across teams. The Development Coordinator is responsible for creating an inclusive environment that demonstrates equity, inclusion, accessibility, and belonging to our clients, ChicagoCAC employees, and partners. The position also assists in ChicagoCAC’s Diversity, Equity, Inclusion, Accessibility, and Belonging (DEIAB) initiatives when managing donor data, interactive with colleagues and partners, and supporting department initiatives.

Requirements

  • Bachelor’s degree or four years of experience with fundraising databases in lieu of a degree
  • Experience in data entry, database management, administrative support, or nonprofit fundraising preferred.
  • Proven ability to maintain accurate, high‑quality data in a CRM.
  • Microsoft Office proficiency required; experience with Raiser’s Edge or a similar donor/client database required.
  • Highly organized, detail‑oriented, and able to meet deadlines in a fast‑paced environment.
  • Able to follow structured processes while also identifying and suggesting improvements.
  • Strong communication skills and the ability to work both independently and collaboratively.

Responsibilities

  • Maintain a high‑functioning donor database that supports accurate reporting, effective stewardship, and strong decision‑making.
  • Process gifts and acknowledgements with 100% accuracy and timeliness, ensuring donors receive timely and meaningful communications.
  • Maintain donor data that is complete, consistent, and up to organizational standards; regularly audit data and correct errors before they impact operations.
  • Partner with Accounting to ensure all revenue and expense data reconciles cleanly; proactively identify discrepancies and implement resolutions.
  • Maintain a clear, updated Raiser’s Edge user handbook; ensure department staff have resources and support to use the system confidently and correctly.
  • Generate accurate mailing lists, reports, dashboards, and donor insights that enable the team to track progress, identify trends, and support major initiatives.
  • Conduct research and produce donor profiles that enable leadership and Board members to cultivate relationships effectively.
  • Help analyze giving and solicitation trends to inform strategy, improve donor retention, and identify opportunities within the annual fund and special campaigns.
  • Provide exceptional operational support that strengthens department execution, enhances donor experience, and ensures event success.

  • Timing of vacations may be dependent on client needs, as that’s our first priority.
  • PTO goes up to 40 days after 5 years.
  • Additional PTO for FMLA-related reasons up to 20 days.
  • A remote work policy that provides flexibility in work hours so long as operational needs are met.
  • Regular expert training on evidence-based therapy modalities, which includes being able to earn Continuing Education Units.
