About The Position

The Development Coordinator will provide general support to Development and Alumni Relations (DAR) operations and work under the direction of DAR staff to ensure programs, projects, and initiatives are appropriately supported. The Development Coordinator plays a key role in supporting the Office of Innovation Initiatives and Corporate Relations (IICR), partnering closely with colleagues across IICR, Johns Hopkins Technology Ventures (JHTV), and Development and Alumni Relations (DAR) to advance fundraising, alumni engagement, and corporate partnership initiatives. Reporting to the Director of Innovation Initiatives and Corporate Relations, the position manages a broad portfolio of administrative, operational, and development functions, including office operations, CRM and gift administration, financial tracking, travel and calendar management, reporting, and event support.

Requirements

Responsibilities

  • Support processing of team information and data management.
  • Enter, retrieve, and maintain data stored in development database (CRM).
  • Process gifts, pledges, and other donor-related transactions.
  • Coordinate gift tracking and database maintenance.
  • Enter visit notes, solicitation activity, and link gifts to the appropriate proposal.
  • Enter and update workplan data.
  • Compile and produce reports.
  • Provide administrative support for the DAR team.
  • Handle sensitive and confidential information with an appropriate level of discretion.
  • Proactively maintain a conflict-free electronic calendar for the principal, which may include arranging intricate meetings with leaders and donors.
  • Coordinate staff portfolios and portfolio assignment transfers.
  • Organize meetings and prepare materials.
  • Prepare and mail gift acknowledgement letters.
  • Draft correspondence.
  • Produce a variety of reports and presentations using information from multiple sources.
  • Create tables, graphs, and PowerPoint presentations.
  • Prepare event briefings for leaders.
  • Respond to internal and external constituent inquiries.
  • Assist with financial transactions, e.g., reconciling travel expenses, paying invoices.
  • Maintain and monitor operating budgets.
  • Ensure the successful execution of events by assisting with planning and day-of management.
  • Assist with management of project deadlines and deliverables, following up on outstanding tasks.
  • Monitor and contribute to social media communications.
  • Maintain office filing systems and office equipment inventories.
  • Provide comprehensive administrative and operational support to the Director and team, including complex calendar management, scheduling internal and external meetings across multiple time zones, coordinating hybrid meetings, preparing meeting materials, and arranging domestic and international travel.
  • Manage office financial and administrative operations, including processing invoices, accounts payable, purchasing transactions, expense reports, travel reimbursements, and reconciliation of office Pcard expenses.
  • Maintain and enhance office systems and resources, including OneDrive, shared files, templates, presentations, and other tools that support efficient team operations and collaboration.
  • Support fundraising and development operations through expert use of DAR's CRM (JHAS), maintaining constituent and gift records, assisting in the processing of gifts and pledges, assisting in the tracking of fundraising activity, monitoring the gift agreement process, and generating reports for the team and key stakeholders.
  • Assist in the coordination of alumni and ecosystem engagement and events, including managing invitation lists, mailings, RSVPs, event logistics, and staffing events as needed to support donor, prospect, alumni and stakeholder engagement.
