About The Position

This position will oversee an office of approximately 64 academic employees, including tenured/tenure-track faculty, Lecturers, Teaching Assistants, and Graduate Assistants. The role also involves supervising 1 full-time staff member and managing the department's budget and records. The specialist will serve as the primary resource for information regarding department policy and practice for faculty, students, and staff, ensuring continuity in policy and procedure. The department offers seven Bachelor's degrees, six minors, four certificates, and four Master's degrees, serving a significant number of Full-Time Equivalent Students (FTES). This is a temporary, one-year position with no permanent status granted.

Requirements

  • Bachelor's degree or equivalent and two years of related experience required.
  • Advanced problem-solving and organizational skills.
  • Managerial, supervisory, and interpersonal skills.
  • Knowledge of budget and fiscal resources, allocations, and accountability.
  • Ability to provide professional representation for the department.
  • Ability to develop and deliver essential information through written and oral interactions.
  • Ability to establish and maintain collaborative working relationships.
  • Working knowledge of Windows, word processing, spreadsheet, databases, web pages, email, and CMS.
  • Ability to communicate with an ethnically and culturally diverse campus community.
  • Ability to follow all university policies, procedures, and guidelines.
  • Ability to contribute to a positive university experience for students.
  • Must reside in the State of California upon date of hire.

Responsibilities

  • Oversee an office of approximately 64 academic employees, including faculty, lecturers, teaching assistants, and graduate assistants.
  • Supervise 1 full-time staff member.
  • Manage department budget and records, including general, continuing education, grant, and other fund budgets.
  • Serve as the primary resource for information regarding department policy and practice for faculty, students, and staff.
  • Ensure continuity in policy and procedure.
  • Complete faculty and staff hiring processes.
  • Maintain files on current or former full-time faculty, part-time faculty, teaching assistants, graduate assistants, and instructional student assistants.
  • Prepare all documents for hiring and separating personnel.
  • Coordinate all clerical functions in the department office, including planning assignments, training staff, and making assignments based on workload and deadlines.
  • Prepare all forms, correspondence, brochures, and announcements for events and activities.
  • Manage departmental record-keeping, records processing, reports, and written material preparation.
