About The Position

This role is responsible for greeting patients, managing check-in and check-out procedures, scheduling and confirming appointments, coordinating patient services, collecting fees, and ensuring a positive patient experience from arrival to departure. The position requires providing pleasant and courteous customer service to all callers and patients at all times. The office is a well-established dental practice offering state-of-the-art Cosmetic, Implant, and General Dentistry, and is seeking a motivated, full-time team player with excellent communication skills due to growing needs.

Requirements

  • Minimum of one (1) year of experience in a customer support capacity in a dental practice.
  • Bilingual (English/Spanish/Portuguese).
  • Working knowledge of dental terminology and dental office settings.
  • Ability to handle multiple priorities simultaneously with minimal supervision.
  • Must be a reliable team player committed to working in a quality and customer-centric environment.
  • Daily interaction in person, on the phone, and via email is required.
  • Superior customer service skills, demonstrating responsiveness, depth of knowledge, and thoroughness in handling inquiries.
  • Exceptional interpersonal skills, flexibility, and a professional "can-do" attitude.
  • Excellent listening comprehension, oral communication, and written communication skills.
  • Ability to interact in a tactful and positive manner.
  • Ability to follow oral and written instructions precisely with keen attention to detail and a high degree of accuracy.

Responsibilities

  • Greet patients with enthusiasm and warmth, perform check-in procedures, and update demographics and insurance information.
  • Check in and out patients in a timely, accurate, and professional manner.
  • Verify insurance eligibility, obtain proof of eligibility, and make copies of picture ID and insurance cards.
  • Respond to patient questions, provide guidance, and anticipate patient needs to ensure their comfort.
  • Collect co-payments from patients.
  • Answer calls courteously, forward calls to the appropriate team member, and accurately document messages.
  • Schedule, cancel, and reschedule appointments, including regular, missed, and follow-up appointments, and arrange patient transportation as needed.
  • Call and confirm appointments for the current and following day, and conduct follow-up calls.
  • File, scan, copy, retrieve, and email/deliver dental records according to HIPAA standards.
  • Track incoming and outgoing packages, parcels, and mail.
  • Provide administrative and operational support to other team members.
  • Maintain the reception area, including light housekeeping duties like cleaning glass doors and ensuring restrooms are clean, stocked, and orderly.
  • Maintain a clean, well-stocked, and safe environment for patients and staff, keeping patient care and utility areas neat and clean.
  • Ensure compliance with all HIPAA and OSHA standards.
  • Adhere to established departmental policies and procedures, objectives, and safety, environmental, and infection control standards.
  • Participate in departmental and organizational quality management activities.
  • Cooperate with other personnel to achieve department objectives, maintain good employee relations, and adhere to interdepartmental objectives and infection control policies.
  • Attend departmental meetings as required.
  • Manage special projects and other assigned tasks effectively.
  • Perform other duties as required.
