About The Position

Wilmington Family Dental is seeking a Dental Patient Coordinator to join their growing team. This position supports both Wilmington Family Dental and Precision Periodontics, providing variety and opportunities to expand knowledge in general dentistry and periodontics. The ideal candidate will enjoy building relationships with patients, coordinating schedules, navigating insurance, and being an essential part of a collaborative team. This role is the first impression for the practices, ensuring patients have a seamless and personalized experience from their first phone call through treatment completion.

Requirements

  • Minimum one year of dental front office experience
  • Experience with dental insurance verification, claims, and treatment presentation
  • Excellent customer service and communication skills
  • Strong organizational and multitasking abilities
  • Comfortable discussing finances and payment options with patients
  • Proficiency with dental practice management software and general computer applications
  • Positive attitude with the ability to work independently and as part of a team
  • Ability to adapt between two neighboring practices while maintaining outstanding patient service
  • Understands the importance of confidentiality and HIPAA compliance

Responsibilities

  • Welcome patients and create a warm, professional first impression
  • Answer phones, schedule appointments, and manage provider schedules efficiently
  • Check patients in and out while ensuring accurate demographic and insurance information
  • Verify insurance benefits and explain coverage to patients
  • Present treatment plans and review financial arrangements with confidence and compassion
  • Coordinate patient financing and collect payments
  • Process insurance claims, payments, and outstanding balances
  • Maintain accurate electronic patient records and documentation
  • Coordinate referrals and communication between general dentistry and the periodontal specialty office
  • Monitor appointment schedules to maximize efficiency and patient flow
  • Help maintain patient retention through follow-up appointments and outstanding treatment scheduling
  • Respond to patient questions and resolve concerns with professionalism and empathy
  • Support the clinical team with administrative tasks that contribute to an exceptional patient experience
