About The Position

The Dental Operations Supervisor is responsible for direct supervision of dental support staff members and daily operations of the assigned dental clinic sites. This role involves providing leadership, managing staff performance, ensuring efficient patient flow, maintaining compliance with regulations, and overseeing daily clinic operations.

Requirements

  • Proficiency in written and verbal communication.
  • Proficiency in basic mathematics.
  • Proficiency in computer applications and technical systems.
  • Completion of an Associate’s Degree program with a recognized major and a minimum cumulative GPA of 2.5; OR a combination of relevant experience and completion of a high school diploma with a minimum cumulative GPA of 2.5, or General Educational Development (GED) with a minimum overall score of 162.5.
  • Healthcare-related knowledge frequently acquired through completion of a trade school, para-professional, or certificate-type program.
  • A minimum of two years of leadership experience OR five years of progressively greater responsibility or significant contributions to projects and initiatives that demonstrate leadership skills.
  • A minimum credit score of 650.
  • Ability to prepare more complex documents in Microsoft Word, including creating tables, charts, graphs, and other elements.
  • Ability to use Microsoft Excel to analyze data, including the use of formulas, functions, lookup tables, and other standard spreadsheet elements.
  • Ability to develop sophisticated presentations in Microsoft PowerPoint, including the use of embedded objects, transitions, and other elements.
  • Requires a Dental Assistant certificate.
  • Effectively communicate, verbally and in writing, opinions and extrapolations of information collected and synthesized/analyzed.
  • Responsible for the resolution of conflicts.
  • Compiles, analyzes, and prepares information in an effective written form.
  • Effectively conveys technical information to non-technical audiences.

  • If an individual has completed a degree at a higher level than required by the role and had a stronger GPA in that program, they may provide proof of GPA from that degree in lieu of the high school diploma or associate’s degree.

Responsibilities

  • Provides supervision to departmental staff, including selection, talent building, performance management, recognition, evaluations, coaching, counseling, and disciplinary actions.
  • Makes recommendations regarding hiring, firing, advancement, and promotion of assigned staff.
  • Communicates with staff, builds successful teams, and aligns team performance.
  • Provides and/or ensures employees receive necessary instruction and training for job responsibilities and compliance.
  • Manages the work of the assigned team, assigning duties, providing daily guidance, and monitoring performance.
  • Mitigates and resolves issues preventing goal attainment, providing feedback to the manager.
  • Ensures employees adhere to company workflows, procedures, and policies, correcting actions outside of policy immediately.
  • Identifies trend offenses and reports them to the manager.
  • Recommends workflow and procedure changes based on observations.
  • Assists the manager in ensuring department expenses stay within budget.
  • Maintains compliance with all employee-related reporting and tracking.
  • Facilitates efficient patient flow by coordinating front and back office dental staff.
  • Connects patients to services throughout the health center.
  • Operates dashboard and metric tools to ensure efficient patient flow, reduce wait times, and meet cycle times.
  • Ensures appointment schedules are maximized and spread throughout the shift.
  • Conducts periodic audits in the electronic health record system for workflows related to registration, eligibility, vitals, compliance, referrals, and clinical procedures.
  • Ensures the daily maintenance of clinical logs.
  • Prepares and posts staff schedules at least one month in advance.
  • Ensures patient information is collected, verified, and updated.
  • Ensures financial options are reviewed and offered to patients during registration.
  • Confirms insurance eligibility verification is completed through the appropriate source.
  • Conducts inspections of work areas, sterilization, and lab areas to ensure compliance with OSHA, Joint Commission, and/or accrediting bodies, regulatory agencies, and infection control guidelines.
  • Completes the Health Center Checklist and follows up on outstanding issues.
  • Completes Department Orientation Checklists, Job Specific Competency Assessments, and follows up on outstanding issues.
  • Verifies all logs are up to date, including equipment maintenance, expiration, and inventory logs.
  • Ensures the completion of equipment maintenance and repair.
  • Verifies all sterilization workflows are followed and required biological monitoring is completed.
  • Handles patient complaints, assists patients, and develops solutions.
  • Collaborates with the dental operations manager and other department supervisors to resolve patient issues.
  • Accountable for patient facilitation and coordinates with other sites to help patients with appointments.
  • Verifies supplies, forms, and cash boxes are in compliance with financial policies and regulations.
  • Adheres to the Attendance and Absenteeism Policy.
  • Ability to present to and work at any FHCN location based on business need.
  • Performs other duties as assigned.
