The Deeding Specialist is responsible for timely and accurate review, coordination, tracking, and monitoring of eligible accounts in the deeding process. The role audits legal real estate documents—including mortgages, warranty deeds, satisfactions of mortgage, assignments of contract, and releases of lien—for proper execution and intent. It identifies and communicates deficiencies, reviews title searches and recommends solutions to title issues, searches public records, prepares and electronically records legal documents, and creates owner and lender policies within department turnaround standards. The position also safeguards files and manages documentation related to ownership interests in compliance with state and federal guidelines, SOX and PII requirements, and business standards. The specialist reviews, verifies, batches, and prepares legal documents for timeshare properties in the HICV network; records documents with the appropriate counties while observing county and state requirements; and performs administrative tasks such as typing, copying, filing, sorting, scanning, and mailing title policies and recorded documents. The role also responds to owner requests by mail, email, or phone, maintains accurate data and reporting across multiple tracking structures and systems, uploads documents to the imaging system, and provides team support and backup as needed. Work is primarily in a climate-controlled environment, though occasional exposure to inclement weather and varying temperatures may occur. Schedules vary according to business needs and may include nights, weekends, and holidays. Flexibility to work outside departmental operating hours is required.
