About The Position

The Dealer & Distributor Account Coordinator manages day-to-day coordination and support of Barbosa's dealer and distributor channel, serving as the primary day-to-day point of contact for dealer and distributor accounts. This position coordinates across Estimating, Sales, Production, Purchasing, Delivery, and other internal departments to ensure that orders, customer communication, samples, marketing materials, and program requirements are accurately managed and followed through to completion. The ideal candidate provides consistent communication and visibility into outstanding items, identifies and escalates issues before they negatively impact the customer whenever reasonably possible, and supports the scalable growth of the dealer/distributor channel. This position requires strong organizational skills, sound judgment, and the ability to build positive working relationships with both internal teams and external customers.

Nice To Haves

  • Experience in cabinetry, millwork, construction, building materials, manufacturing, or a related industry.
  • Previous estimating, order-processing, customer-service, purchasing, or project-coordination experience.
  • Experience reading construction plans and specifications.
  • Experience working with dealers, distributors, production-home builders, or contractors.
  • Familiarity with cabinet terminology, construction methods, and industry standards.

Responsibilities

  • Serve as the primary day-to-day point of contact for assigned dealer and distributor accounts.
  • Respond to questions regarding pricing, orders, production schedules, deliveries, and order status.
  • Provide proactive communication regarding changes, delays, and issues.
  • Maintain timely follow-up on open customer items through resolution.
  • Build and maintain professional, responsive relationships with dealer and distributor customers.
  • Receive and process dealer/distributor orders.
  • Review orders for completeness, accuracy, specifications, quantities, and required information.
  • Coordinate with Estimating when pricing, clarification, or missing information is required.
  • Enter and maintain orders in the appropriate estimating/order-processing systems.
  • Monitor orders from initial submission through production and delivery.
  • Ensure order changes and revisions are documented and communicated.
  • Coordinate internally regarding shortages, remakes, order changes, and delivery issues.
  • Maintain visibility into open issues and identify and escalate potential customer-impacting problems before scheduled delivery whenever possible.
  • Coordinate dealer/distributor onboarding requirements and ongoing account support.
  • Coordinate samples, displays, literature, and marketing collateral.
  • Maintain tracking of outstanding samples, collateral, and customer requests through completion.
  • Support implementation and ongoing use of dealer/distributor ordering and design tools, including 2020 Design.
  • Assist with communication of product updates, program changes, and supporting materials.
  • Maintain organized account information and program documentation.
  • Coordinate across Estimating, Sales, Production, Purchasing, Delivery, and other departments to support dealer/distributor requirements.
  • Identify potential order, production, delivery, or communication issues early, and work with the appropriate internal teams toward resolution.
  • Escalate issues when commitments, customer expectations, or delivery dates are at risk.
  • Maintain ownership and follow-through until outstanding issues are closed.
  • Provide appropriate status visibility to the Estimating Manager and Sales leadership regarding significant customer or program issues.
