About The Position

The Data Operations Intern is responsible for ensuring the accuracy and integrity of the organization's records. This role involves cleaning and standardizing existing data, developing routines for accurate data entry, generating lists and reports for staff, and documenting system processes. The intern will work with fundraising databases, CRMs, and other data management tools. This is an entry-level position designed for individuals early in their careers, including college students, with a focus on training and development. The organization is a youth-led 501(c)(3), 501(c)(4), and State PAC dedicated to building youth power in Washington State through advocacy and organizing for systemic changes impacting young people.

Requirements

  • Comfort working in spreadsheets.
  • Interest in learning a CRM or database (no prior experience with a specific platform required).
  • Sound judgment and discretion handling confidential member, donor, and financial information.
  • Clear writing skills, particularly for documentation intended for others.
  • Ability to work independently, ask questions when something is ambiguous, and manage multiple tasks in a fast-moving team.

  • Must reside in Washington State within a commutable distance to Seattle, Washington.

Responsibilities

  • Audit existing records across fundraising databases to find and resolve duplicates, incomplete entries, outdated contact information, and inconsistent formatting.
  • Standardize the recording of names, addresses, phone numbers, and emails, and apply these standards consistently.
  • Enter data into the CRM, including staff interactions with donors and donor responses.
  • Run regular check-ups on data quality and flag patterns indicating upstream problems in data collection.
  • Maintain appropriate separation of records across 501(c)(3), 501(c)(4), and State PAC entities.
  • Reconcile records between systems (spreadsheets, CRM, email tools, forms).
  • Pull lists, segments, and simple reports for organizing, communications, and fundraising staff.
  • Build and maintain lightweight dashboards or trackers showing membership, chapter growth, and engagement over time.
  • Write and update plain-language documentation for system processes, including naming conventions, entry procedures, and step-by-step guides.
  • Suggest improvements to intake forms and collection processes to reduce cleanup work.
