About The Position

The primary responsibility of this role is to answer telephones, route calls, and take messages for all programs within the Indian Child Welfare Department (ICW). This position will also provide Resource and Referral services, assist with initial client intakes, and perform general clerical assistance and office duties for the department. This is a limited-term, non-exempt position.

Requirements

  • Knowledge of data entry, computers, secretarial duties, office machines, and telephone skills.
  • Minimum of High School Diploma or HSED.
  • Working knowledge of computers and computer software and other office machines.
  • Ability to maintain accurate and complete records.
  • Ability to follow written and oral instructions and carry through procedures as specified.
  • Ability to maintain effective and positive working relationship with the public.
  • Ability to maintain confidentiality of information.
  • Ability to be self-motivated and flexible.
  • Must be able to lift at least 20 pounds.
  • Ability to travel and attend meetings and trainings; overnight and out of town, both locally & nationally.

Nice To Haves

  • Minimum of 1 (one) year office experience in a secretarial type position.

Responsibilities

  • Performs ICW support and data entry duties.
  • Gathers data collected from all ICW programs.
  • Maintains data collection.
  • Maintains an adequate inventory of office supplies and materials for program use, including ordering and completing needed requisitions for office supplies.
  • Answers telephones, routes calls to appropriate staff, and takes messages.
  • Completes intakes over the phone or in person.
  • Assists with initial contacts.
  • Provides Resource and Referral assistance to clients/community members.
  • Receives in-coming mail, scans inquiries, and distributes to staff.
  • Updates workers master lists.
  • Maintains confidentiality.
  • Participates in other collaborative service meetings as assigned by ICW Director.
  • Assists in the planning and coordinating of community outreach events organized by the ICW Program as assigned by the ICW Director.
  • Attends and participates in community outreach events as assigned by ICW Director.
  • Maintains a clean, neat, and professional appearance.
