About The Position

Pivotal Health Solutions is seeking a Data Entry Analyst to join our team. In this role, you will be responsible for accurately inputting and verifying customer invoices into the company’s computer system. The role ensures that all order details—such as product information, shipping address, and pricing, are correct. This position requires attention to detail, timely processing, and collaboration with other departments to ensure smooth order fulfillment. This role collaborates with the operations team for accurate data entry for production recording and data management.

Requirements

  • High school diploma or equivalent
  • 1-3 years’ experience in eCommerce, digital marketing, or business analytics
  • Demonstration of proficiency in analytical thinking and quantitative analysis
  • Project management and problem solving skills
  • Strong technology and communication skills
  • Strong data analysis skills, preferably including comfort using pivot tables, Excel
  • Organized and detail oriented

Responsibilities

  • Generate, review, and process customer invoices accurately and in a timely manner.
  • Ensure all invoices align with production output, customer orders, and shipping records.
  • Coordinate with operations, production, and finance teams to resolve discrepancies in billing or order fulfillment.
  • Support month-end and periodic reporting by ensuring all invoicing data is up to date.
  • Perform data entry for backlog tracking, production statistics, and order status updates.
  • Maintain accurate production records to support operational planning and reporting.
  • Build and maintain assembly records in system.
  • Ensure accuracy of bills of materials (BOMs) and production-related entries in the system.
  • Review each order carefully before invoicing to ensure all information is complete and correct, avoiding issues such as incorrect products, pricing errors, or delivery address discrepancies.
  • Assist in updating production-related documents such as Work Instructions (WI), Standard Operating Procedures (SOP), and routers.
  • Perform basic receiving inspections, including spot checks of incoming materials.
  • Assist with tracking non-conformances and waste data as needed.
  • Support quality documentation updates when required.
  • Performs other duties as assigned.
