About The Position

As a Customer Services Coordinator, you'll play a key role in creating an exceptional workplace and client experience. Serving as one of the first points of contact for employees, clients, visitors, and vendors, you'll help ensure the office operates efficiently while delivering professional, high-quality service. This role combines customer service, workplace operations, facilities coordination, and event support to create a seamless experience for all stakeholders. This role is based in our Ottawa office and requires full-time on-site presence, five (5) days per week. The successful candidate will work from the office daily to support workplace operations, client service delivery, meetings, events, and overall employee and visitor experiences. Responsibilities

  • Serve as a first point of contact for clients, visitors, vendors, and employees, providing a welcoming and professional experience.
  • Manage incoming inquiries, and requests, ensuring timely resolution or escalation as required.
  • Build and maintain strong relationships with internal teams, service providers, and building management partners.
  • Support employee and visitor access processes, including temporary access cards and related tracking systems.
  • Coordinate facility-related requests and work closely with building management and vendors to address operational needs.
  • Maintain operational records, financial trackers, and invoice processing documentation.
  • Assist with inventory management, workplace supplies, and general office maintenance activities.
  • Help ensure office spaces remain functional, organized, and aligned with workplace standards.
  • Coordinate meeting room and event space reservations.
  • Ensure meeting and collaboration spaces are prepared and client-ready.
  • Support the logistics and execution of meetings, training sessions, hospitality services, and office events.
  • Liaise with catering providers, audio-visual teams, Executive Assistants, and other support groups to deliver successful experiences.
