Loving Care Animal Clinic is seeking a Customer Service Representative (CSR) for their small-animal clinic in Fremont, Michigan. The CSR is the first point of contact for clients and plays a crucial role in setting the tone for their visit. Requirements

  • High school diploma or equivalent.
  • Previous customer service experience required.
  • Excellent verbal and written communication skills.
  • Strong spelling and attention to detail.
  • Comfort with computers and ability to learn new software quickly.
  • Strong multitasking abilities.
  • Ability to stay calm, organized, and kind in a high-traffic, occasionally stressful environment.
  • Accuracy and trustworthiness with cash handling and confidential client information.
  • Genuine comfort and confidence around animals of all sizes and temperaments.
  • Compassion, emotional intelligence, and a reliable, team-first attitude.

Nice To Haves

  • Experience in a veterinary or medical office.
  • Experience with EzyVet or a similar practice-management system.

Responsibilities

  • Greet clients and patients upon arrival.
  • Answer multi-line phones promptly and warmly.
  • Respond to client emails and messages professionally.
  • Book and confirm appointments, surgeries, and recheck visits using EzyVet software.
  • Check clients in and out, verifying and updating information.
  • Scan microchips and weigh patients.
  • Review invoices and process payments accurately.
  • Schedule follow-up visits.
  • Create and maintain pet, client, and clinical records.
  • Attach and verify signed consent forms.
  • Document current medications.
  • Complete rabies certificates precisely.
  • Perform client callbacks for lab results and wellness reminders.
  • Build clear treatment estimates.
  • Process prescription-refill requests.
  • Triage urgent concerns by communicating with the medical team.
  • Maintain a balanced cash drawer and process transactions.
  • Complete end-of-day reconciliation and payment summaries.
  • Open and close the clinic, completing daily checklists.
  • Keep the reception area clean and welcoming.
  • Secure records, payments, and the building at day's end.
  • Support clients with empathy during difficult decisions about their pets' health.
  • Assist with other duties as assigned, as team members often wear multiple hats.
